About The Position

Ivy Fertility is dedicated to helping families grow. Our teams provide compassionate, patient-centered care while advancing reproductive medicine through clinical excellence and innovation. The Front Office Lead oversees front office operations, mentors staff, and ensures a welcoming, organized, and seamless experience for patients. This role balances leadership responsibilities with direct patient service in a fast-paced fertility clinic.

Requirements

• High school diploma required; Bachelor’s preferred
• 1 year medical office experience; supervisory experience a plus
• Strong organizational, multitasking, and time management skills
• Excellent interpersonal, communication, and customer service skills
• Ability to work in a fast-paced environment and make decisions accurately
• Spanish-speaking skills a plus
• Positive attitude, professionalism, and ethical conduct
• Effective role model and mentor
• Clear, confident communication
• Collaborative, team-oriented approach
• Able to manage stress, prioritize, and adapt to change

Nice To Haves

• Bachelor’s preferred
• supervisory experience a plus
• Spanish-speaking skills a plus

Responsibilities

• Lead and manage front office staff, workflows, and daily operations
• Develop, implement, and maintain front office procedures
• Greet and orient patients, manage check-in, insurance verification, and payments
• Schedule appointments and manage clinic calendars
• Handle patient inquiries professionally and courteously
• Mentor staff, provide coaching, and support professional development
• Assist with administrative and operational initiatives
• Maintain cleanliness and organization of the front office
• Other duties as assigned
