About The Position

Evergreen Family Medicine is committed to providing excellent care for your family with clinics in Roseburg, Sutherlin and Myrtle Creek Oregon. Evergreen Family Medicine serves outpatient needs, including Urgent Care, Family Practice, Women’s Health, and Occupational Health. Evergreen Family Medicine is a Drug Free Workplace. Requirements

  • High school diploma or equivalent (required)
  • Two years of previous office management preferred.
  • Minimum 2–3 years of medical front office experience (family practice, urgent care, or similar setting preferred)
  • Communication, interpersonal, clerical, and organizational skills necessary to complete job duties.
  • Ability to handle the confidential aspects of the work.
  • The ability to type at least 40wpm and activate and operate computers and office equipment.
  • Proven ability to train, mentor, and support front office staff
  • Experience coordinating schedules, breaks, and daily workflows
  • Ability to implement new processes and enforce policies consistently
  • Strong problem-solving and conflict resolution skills, especially with upset patients

Responsibilities

  • Maintains confidentiality according to HIPAA regulations and EFM policies.
  • Adheres strictly to EFM departmental standards and policies, including state and federal regulations.
  • Communicates effectively and professionally with coworkers, managers and patients via phone, email or in person.
  • Check in patients and updates registration and current insurance information.
  • Answers phones diligently and efficiently.
  • Maintains current knowledge of all insurances including verifying benefits and eligibility for OHP, DCIPA & ATRIO including assignment.
  • Advocates for patients by creating appropriate patient cases, requests, communications, and appointments in Athena, on paper and in person.
  • Accurately accounts for all cash, checks and credit card transactions posted and balances batch at the end of the night.
  • Communicates, calculates, and collects co-pays, coinsurances and deductibles from any patient owing at check in, check out, or over the phone.
  • Works closely and supports all receptionists with skill and knowledge in a friendly manner.
  • Offers insurance support to all receptionists.
  • Keeps an active working knowledge of Athena, engages in continuing education and trainings as offered by manager or company.
  • Implements new workflows as instructed by manager with a good attitude and encourages others to do the same.
  • Works task buckets as assigned by manager or other departments.
  • Facilitate training of new employees on all job aspects.
  • Uses good judgment in making patient care related decisions and therefor provides a good example for all reception to follow.
  • Self manages to stay on task, maximizes efficiencies and encourage other to do the same.
  • Maintains a positive attitude, does not take work issues personally and does not allow personal issues to affect the workday.
  • Promotes an environment filled with teamwork, a positive outlook, and constant professionalism.
  • Represents reception in groups, committees and meetings in a positive and knowledgeable manner, and relays information to the front office team in an effective and constructive way.
  • In addition to workflow projects, communicates with all employees through emails, creation of spreadsheets and handouts in a clear and efficient way.
  • Problem solves with a fair and team-minded approach and ensures that workflows remain consistent and fluid while manager is in meetings or out of office.
  • Facilitates daily: morning huddles, breaks, and lunch schedules and relays necessary information to staff.
  • Confidently speaks with upset patients on behalf of reception, ensuring the situation is handled appropriately.
  • Ensures on a daily basis to promote an environment filled with teamwork, a positive outlook and constant professionalism.
  • All other duties as assigned.
