About The Position

The Graduate Assistant will assist the Business Operations unit in the management of the student hiring process and retention efforts for the department. The position compiles all Human Resource files, physical and electronic, and completes all hiring for University Housing Services student staff. This includes, but is not limited to: (30%) – Compiles and maintains up to date student staff lists, and electronic student files for each area of campus. This includes Night Operations, Hewett-Manchester Halls, Tri-Towers, Watterson Towers, Cardinal Court, Summer Conferences, and all Office of Residential Life employees, totaling over 350 student records. Responsible for terminating students for all areas of UHS in order to maintain correct timesheets/rosters and avoid incorrect payroll. Responsible for ensuring student employees are offboarded properly, including IT access to VPSA files, the StarRez system, and University timekeeping systems. Maintains and tracks student employee uniform inventory. Serves as a primary contact for all students interested in working for UHS. (50%) – Responsible for processing all student employee new hires within UHS in accordance with guidelines put in place by the department of Human Resources. This includes creating student job postings, requesting conduct checks, background checks, academic checks, and communicating with students for hiring meetings. Hiring meetings with students consist of completing confidential HR paperwork such as filling out a student’s I-9, employee expectations agreements, administering uniform receipts, filling out a selection form with correct position levels, pay and supervisory information, and ensuring the students are onboarded electronically as needed. Responsible for recording all interaction and documentation with student for Human Resources electronic files. (10%) - Assist with compiling data on student employees for the department’s student employee analysis. This data is presented to the Director of UHS and the Vice President of Student Affair’s Office at the beginning of each semester. Assists with retention coding for the Division of Student Affairs at the end of each semester for student employees and all RSOs within University Housing Services. (5%) – Assists with hiring UHS Graduate Assistants. Submits Position Funding Request for Graduate Assistants as necessary. Prepares contracts for Graduate Assistants and maintains up to date “Reports To” information on a consistent basis. Assists in the creation of onboarding and offboarding manuals and works with Business Operations leadership to improve processes related to Human Resources. (5%) – Assists with tracking, retaining, and reconciling residence hall billing documents. Manages the Business Operations invoice log daily. Assists leadership with financial analysis and reports as needed. Other duties assigned as deemed necessary by the department.

Requirements

  • Eligible for appointment as per the requirements in the Graduate Assistant Handbook which can be found at http://hr.illinoisstate.edu/downloads/GA_Handbook.pdf
  • Must be a degree seeking graduate student at Illinois State University in one of the following areas: College Student Personnel Administration, MBA, Communication, Sociology, English
