About The Position

The Research Foundation for Mental Hygiene, Inc., is seeking a qualified candidate to fill a full-time Grants Administrator position. This is an exciting opportunity to join our collaborative administrative team at a world-class research institution. This position has responsibility across three entities, Research Foundation for Mental Hygiene (RFMH), New York State Psychiatric Institute (NYSPI), and Columbia University (CU) Department of Psychiatry. There is considerable interaction among the three organizations, therefore the complexity and dimensions of this position require outstanding interpersonal, verbal, and organizational skills. An ideal candidate will have knowledge of sponsored projects administration, be a fast learner and have enthusiasm for working in a fast-paced, results-driven environment. This position will work within the Office of Sponsored Programs and liaison with various investigators and administrators across the institutions to provide pre-award support for grant applications, as well as additional administrative tasks. A successful candidate will be able to work independently, require minimal supervision, and have the ability to work in Office of Sponsored Programs various systems along with a high degree of literacy and proficiency in Excel, Word, and Adobe. This position allows for up to 50% remote work.

Requirements

  • 1-3 years of administrative experience.
  • 1-2 years of experience in Federal grants (NIH, NSF, and DoD) and non-federal grants.
  • Proficiency in Microsoft Office 365 products (Excel, Word, Outlook, Teams).

Responsibilities

  • Conduct comprehensive reviews of Federal and Non-federal funding opportunity announcements (FOAs) to interpret funding agency guidelines, eligibility requirements, and application submission instructions.
  • Facilitate OSP meetings with Principal Investigators and their respective administrators, to walk through FOA details, answer questions, and ensure applications are aligned with sponsored expectations.
  • Conduct a thorough review of the proposed budget to ensure accuracy, reasonableness, and full compliance with institutional (RFMH, CU) policies and funding agency requirements.
  • Review all completed applications to ensure full compliance with institutional policies and funding agency guidelines and policies.
  • Ensure all required documents are included, verify the proposal's compliance with internal policies and external regulations, and assess the completeness of the submission.
  • Respond to inquiries from Administrators and Investigators on formatting and content of funding agency applications and research policies.
  • Offering constructive criticism and actionable feedback to enhance the quality of the applications. Feedback will focus on key components of the applications, ensuring they meet funding agencies, scientific merit, feasibility, and compliance and guidelines.
