Purpose To support grant proposal and award efforts within the College of Fine Arts by researching grant opportunities, coordinating the pre-award between faculty and other stakeholders, providing informed, subject matter knowledge, and reporting on faculty research projects.

Requirements

  • Bachelor’s Degree
  • Three years’ experience in preparation, processing, and/or negotiation of grant and contract proposals and awards.
  • Demonstrated ability to administer and communicate best practices and policies
  • Familiarity with Microsoft Excel or other financial reporting tool
  • Required Competencies: Initiative Teamwork Effective Communications: specifically, writing and editing - advanced ability to tailor to program terms of grant proposal. Accuracy and Attention to Detail Tolerance for Ambiguity and Stress Decision Making and Critical Thinking Growth and Development Mindset
  • Relevant education and experience may be substituted as appropriate.

Nice To Haves

  • Some pre- and post-award experience.
  • Experience/background in the arts or humanities.
  • Experience with UT Austin financial (DEFINE, FRMS), human resources (Workday), and/or research grant (RMS, PiVOT) systems.
  • Experience with one or more grant submission portal (e.g. Cayuse, grants.gov).
  • Familiarity with UT Austin.

Responsibilities

  • Pre-Award: Learn the research agendas of the faculty members in the college. Identify funding opportunities that may help those faculty meet their research goals and encourage those faculty members to apply. Guide faculty members and other researchers in the preparation and submission of new, transfer, competitive renewal, and competitive continuations grant and contract proposals to a sponsoring agency, company, or foundation. Research all aspects of the submission process for each application for each sponsor. Maintain continuous communication with the sponsor and researcher to make updates and adjustments as needed. Create and establish a detailed proposal budget and budget justification. Review and update proposal documentation as needed. Create and update required forms throughout the proposal process.
  • Post-Award: Monitor and liaise between researcher and the Office of Sponsored Projects (OSP) for compliance purposes. Manage unfunded agreements and create required transactions as needed. Aid researchers with all award transitions, questions, and clarifications as needed. Prepare and coordinate subaward agreements and subaward agreement monitoring under sponsored projects. Schedule and coordinate award stakeholder meetings. Request credit, spend available, and account adjustments that require award team review in UTRMS. Process expenditures on the grant account including purchase orders and payment vouchers. Provide financial reports that align with grant and contract deadlines and on an ad hoc basis.
  • Grow Research Capacity: In collaboration with the Office for Faculty Advancement team, prepare training, guidance, and informational materials for faculty and staff on sponsored research and provide sponsor, university, and other regulation updates to faculty as needed. Research and distribute grant opportunities. Attend conferences, presentations, and related campus organizations for research administration topics to stay abreast of new rules and trends in research administration.
  • Reporting: Under direction of supervisor, track major research accolades received by faculty (i.e. membership in national societies, major competitive awards and fellowships received, etc.) and their major research outputs (e.g. monographs, gallery and museum exhibitions, performances, etc.). Prepare research grant and output reporting for faculty administrators as needed.
