About The Position

Coordinates and implements the general fiscal, administrative, and research grant pre-award and post-award needs in support of the Addiction Sciences Division in the Department of Psychiatry & Behavioral Sciences. The Addiction Sciences Division is supportive of employee growth, professional development/career development and performance evaluations on a yearly basis.

Requirements

  • A bachelor's degree and two years business, personnel, grant-in-aid or public administration experience.
  • Computer literacy.

Nice To Haves

  • Microsoft Excel proficiency required.
  • Must possess attention to detail and strong mathematical skills.
  • Experience with WorkDay preferred.

Responsibilities

  • Grants and contracts Post-award management: Review newly established accounts in WorkDay (Budgets, Award Lines, Subawards). Maintain and monitor financial tracking through WorkDay for assigned research projects. Provide monthly financial reports to investigators. Assist with setup, ongoing maintenance, and closeout of subawards. Including tracking of invoices and financial reports.
  • Fiscal and accounting responsibilities: Review and approval of research purchases in WorkDay for assigned research projects for allowability within the project budget and consonant with State and University procurement policies. Review and approval of research travel in WorkDay per State and University guidelines and within the project budget. Oversee all Payroll Costing Allocation tasks (PCAs) and Payroll Accounting Adjustment tasks (PAAs) in WorkDay for assigned faculty and staff.
  • Detailed post award support for new and established Professional Services Agreements (PSA) Assist with setup, ongoing maintenance, and closeout of PSAs. Including tracking of invoices and financial reports. Work closely with assigned program managers for timely issuance of PSAs to clinical sites, as well as proactive renewal to prevent gaps in service or payment. Consult and collaborate with procurement for the PSA contracts.
  • Grants and contracts Pre-award management: Assist with preparation of grant and contract proposals and supplements including budgets, budget justifications, biosketches, F&A Waivers, and letters of intent. Upload and enter proposals and supplements into Cayuse 424 and Cayuse SP. Assist faculty in responding to Award JITs (Just-in-Time) notices to include updating NIH Other Support documents and collecting documents requested by the sponsor.
  • Other duties as assigned.
