About The Position

Opal Collection is seeking an experienced and highly organized Group Housing Coordinator (GHC) to manage the end-to-end group housing process for a portfolio of up to 10 hotels. This role supports a mix of smaller, low-volume group hotels and mid-size luxury properties with high group activity, requiring strong prioritization, communication, and attention to detail. The GHC will serve as the primary housing liaison from sales turnover through group arrival, ensuring a seamless experience for meeting planners, hotel teams, and guests. This position also supports Revenue Management with regards to managing group inventory.

Requirements

  • 2+ years of hotel group housing, group reservations, or group sales coordination experience
  • Strong organizational skills with the ability to manage competing deadlines
  • Excellent written and verbal communication skills
  • Comfort working with hotel brand systems (Marriott, IHG or similar preferred)
  • A proactive, solutions-oriented mindset with strong attention to detail

  • Experience supporting multiple properties or high group volume strongly preferred

Responsibilities

  • Manage the group housing process from sales turnover through arrival for assigned properties
  • Serve as the main point of contact for meeting planners regarding room blocks, cut-off dates, rooming lists, contracted upgrades, VIPs and reservation questions
  • Set up, maintain, and monitor group room blocks in various systems including HMS, Marsha and Opera.
  • Track pickup, communicate status updates, and send cut-off reminders and final reports
  • Coordinate closely with Sales, Revenue, and Front Office teams across multiple hotels
  • Ensure accurate rooming lists are received, reviewed, and loaded according to property standards
  • Proactively identify and resolve housing challenges before arrival
  • Maintain organized records, timelines, and reporting for multiple groups and properties simultaneously
  • Responsible for routine system audits ensuring all group matches across all systems
  • Must be able to run group reports as needed, and provide knowledgeable insight to management based on analyses of these group reports (ie: anticipated wash or higher pick-up expected)
  • Attend weekly revenue or sales meetings as necessary, including being an active participant in group inventory discussions
