We’re looking for a receptionist to join our Operations Team. Someone who will act as the first point of contact at the front desk where they will offer administrative support, provide general assistance to visitors, distribute mail/packages and assist the Office Services in associated tasks of running the office and generally direct traffic through our doors.

Requirements

  • Minimum of a Bachelors degree or equivalent business experience preferred
  • Administrative support experience
  • Friendly and personable attitude + approach
  • Must be a team player with proactive attitude
  • High detail orientation; able to handle complex instructions with care and follow-through
  • Accuracy and timeliness in execution of assigned tasks
  • Ability to schedule work and balance priorities for the efficient

Responsibilities

  • Security for guests: NDA’s, badges & cell phone camera restrictions.
  • Be the point of contact to notify employees/HR when freelancers/visitors arrive
  • Create, administer, and manage temporary badges for employees, new hires, freelance and approved visitors
  • Answer + transfer phone calls to the designated individuals
  • Ensure dates are recorded for accuracy in visitor logs
  • Manage front desk, keep reception area and other designated spaces tidy and stocked with necessary supplies
  • Ensure monitors for computers are turned on/off at start and end of shift
  • Oversee parking list records and tags
  • Manage deliveries, package log & email recipients for packages
  • Organize weekly communications to agency to include updates/important information
  • Learn and execute agency office protocols for new hires, visitors, parking, dog protocol, badges, security etc.
  • Collaborate with IT, Security, Office Services and Admin departments on agency process, requests, coverage etc.
  • Complete other assigned tasks from manager
