About The Position

The HELM Systems Coordinator provides administrative and system support for the HELM platform to ensure accurate vessel records, compliance documentation, and efficient operational workflows across the organization. This role serves as the primary point of contact for HELM, supporting day-to-day system use, maintaining data integrity, and assisting departments in consistent and effective platform utilization.

Requirements

  • Strong attention to detail with the ability to maintain highly accurate records and documentation.
  • Proficient computer skills, including experience with database systems, reporting tools, and Microsoft Office applications (Excel, SharePoint, Teams).
  • Ability to analyze data, identify discrepancies, and recommend corrective actions or process improvements.
  • Strong organizational and time-management skills with the ability to manage multiple priorities and deadlines.
  • Effective written and verbal communication skills, with the ability to interact professionally with vessel crews, management, and vendors.
  • Ability to train and support users with varying levels of technical experience.
  • Strong problem-solving skills and the ability to troubleshoot system or data-related issues.
  • Ability to work independently with minimal supervision while maintaining accountability and follow-through.
  • Ability to maintain confidentiality and exercise sound judgment when handling sensitive operational and compliance information.
  • Associate’s degree in Business Administration, Information Systems, Maritime Administration, or a related field preferred; or equivalent combination of education and relevant work experience.
  • Minimum of 2–3 years of administrative, system support, compliance, or data management experience required.

Nice To Haves

  • Prior experience working with fleet management systems, maintenance management systems, or compliance tracking platforms strongly preferred.
  • Experience in a maritime, marine transportation, shipyard, offshore, or industrial operations environment is preferred.
  • Familiarity with regulatory compliance documentation (e.g., Coast Guard, ISM, safety, maintenance, or audit records) is preferred.

Responsibilities

  • Manage daily administration and operation of the HELM platform, ensuring accurate data, reliable functionality, and effective system use.
  • Administer user accounts, permissions, roles, and access controls within HELM.
  • Administer and maintain the HELM platform, including user accounts, permissions, roles, and access controls.
  • Maintain accurate records, maintenance schedules, equipment data, and compliance documentation within HELM.
  • Configure and monitor system alerts, reminders, and dashboards to support operational and compliance visibility.
  • Prepare system reports and support audit readiness by assisting departments with compliance documentation, reporting, and record retrieval.
  • Serve as the primary HELM point of contact for shore-based and vessel personnel.
  • Provide system guidance, troubleshooting, and support related to data discrepancies or system use.
  • Develop, maintain, and update HELM standard operating procedures (SOPs) and user reference materials.
  • Identify data gaps and recommend workflow or system improvements to enhance accuracy and efficiency.
  • Coordinate with HELM vendor support regarding system updates, enhancements, and issue resolution.
  • Participate in system upgrades, testing, and implementation activities.
