About The Position

Responsible for the operations of all centralized health information requests for release of information (ROI) in accordance with GLBHC, HIPAA, and state and federal privacy Updates fee schedules based on state statue and manage invoicing for record copy charges and does follows-up invoicing on past due accounts. Directs all File-Safe related activities meeting State, Federal, and risk management guidelines. Monitors obituary information; inactivating patient accounts as needed. Compiling reports, as schedule and requested. (10%) Participates as the assigned authority for health information compliance at committee meetings, seminars, conferences and department meetings for consistent communication and updates on legal issues surrounding release of information, EMR or other HIM topics as deemed (10%) Responsible for recruitment, training, and managing the HIM and Centralized Mailroom staff, performs career development reviews in a timely manner, monitors performance, counsels, and implements disciplinary measures when necessary. Continually assess staff competency and coaches’ staff to maximum performance. Processes all time sheets and time off requests for the departments, ensuring adequate staffing and mediating employee issues. (15%) Manages the collection of appropriate and applicable documentation for complex subpoena and medical malpractice Responsible for managing the patient health information monitoring confidential and professional communication between all parties involved in cases throughout resolution of cases. Ensures timely scheduling and invoicing of depositions. (15%) Support and maintains cooperative working relationships with other departments and external entities in order to provide timely documentation for quality patient Responsible for problem solving and resolution leading to improved quality of services. Resolves patient grievances by addressing and resolving concerns. (10%) Monitors Fair Warning privacy alert software to assess potential improper access of Protected Health Information (PHI), identifies and mitigates the level of risk, and report breaches to the HIM Director for further investigation. (5%) Responsible for managing the day-to-day HIM and Mailroom Disseminates timely information to staff and provides departmental and organizational structure. Ensures maximum efficiency and productivity is maintained. Functions in an administrative role for scanning and indexing software, providing training on its use, workflow assessment and change management to maximize effectiveness and efficiency. (15%) Directs the effective use of technology to improve the information systems and processes used by GLBHC providers and staff to ensure timely, accurate, and thorough data collection and Manages the reporting associated with quality improvement goals and developing key performance indicators. (5%) Responsible for the collaboration with the Information Technology (IT) Department to secure Patient Health Information (PHI) data by managing access, privileges, and information exchange, internally and for external auditing agencies. (5%) Maintains the integrity and performance of the GLBHC HIM Fax Exchange system for the receipt of PHI in conjunction with the IT Department, to ensure PHI data is exchanged securely and Uses guiding principles to manage sensitive PHI data and ensures that it is accurate, compliant, and safeguarded. (10%) Marginal Duties May be called upon to answer HIPAA or privacy related questions when the Director of Health Information Management is Conducts HIPAA privacy investigation when the Director of Health Information Management is unavailable or if directed by the director. Fills in for staff vacancies or assists with coverage plans, as Monitors the requisition of supplies for HIM Department and the Centralized Mailroom, making recommendations for any additional and/or new equipment as well as managing associated work orders. Requirements

  • Must possess an associate degree in health information management or another related field.
  • Minimum 5 years’ experience in health information management.
  • Knowledge in medical terminology, HIPAA and state privacy law strongly preferred.
  • Progressive management experience and responsibility in a healthcare system required.
  • Must be reliable, highly organized, and able to work independently and multi- task.
  • Must be familiar with Microsoft Word and Microsoft Excel and be able to create reports and/or forms from the Microsoft Suite software.
  • Self-starter who can work well with changing priorities and situations.
  • Analytical and critical thinking skills
  • Must possess the ability to communicate effectively and professionally with providers, co-workers, patients and outside agencies.
  • Must be able to work under time constraints to adhere to schedules, have excellent writing skills and be able to create correspondence.
  • Must be able to manage varying levels of stress in a healthy, professional manner.
  • Must be able to sit, stand, and stoop throughout a workday.
  • Must be able to lift up to 25 pounds on occasion.
  • Full-time, 40 hours per week.
  • Must have timely, consistent attendance.

Nice To Haves

  • Bachelor’s degree in health information management or related field preferred.
