About The Position

We’re seeking a detail-oriented HIMS Support Staff to provide centralized records management support to clinical staff and patients. If you have a strong understanding of medical records, attention to detail, and a passion for patient-centered care, we’d love to have you on our team!

Requirements

  • High school diploma or GED required.
  • Intermediate proficiency in Microsoft Word, Excel, and Outlook.
  • Strong attention to detail and ability to manage multiple priorities.
  • Professional communication skills in person and over the phone.
  • Positive attitude, enthusiasm for the organization’s mission, and strong interpersonal skills.

Nice To Haves

  • Familiarity with medical terminology and HIPAA guidelines desired but not required

Responsibilities

  • Maintain and organize patient records in compliance with Valley-Wide policies and HIPAA guidelines.
  • File documents accurately and efficiently with minimal assistance and errors.
  • Ensure proper categorization and differentiation of documents within the electronic health record system.
  • Work proactively to obtain missing records and ensure complete documentation for patient care.
  • Request and prepare paper charts for electronic conversion as needed.
  • Enter laboratory results received from non-interfaced outside entities, ensuring provider review and quality assurance.
  • Attach received diagnostic images to the correct patient order in the electronic chart and update order statuses accordingly.
  • Follow up on outstanding lab and diagnostic reports, proactively retrieving results from approved facilities.
  • Manage requests for patient record transfers from outside healthcare facilities, ensuring proper authorization and compliance.
  • Verify patient identifiers and ensure accurate release of information before transferring records.
  • Update patient status and primary care provider (PCP) information while ensuring proper deactivation of medications and orders per PHI clinical guidelines.
  • Maintain electronic PHI logs of released patient information and generate encounters for billing when appropriate.
  • Answer phone calls professionally, document required information and assist with patient and provider inquiries.
  • Maintain productivity standards and ensure timely completion of assigned tasks with minimal errors.
  • Provide outstanding customer service to both internal and external stakeholders.
