About The Position

This role will be located at one of Discovery Land Company’s locations: The Hills, set in East Quogue, New York. The Hills is seeking a House Manager to join the Residential Services Department. Typical hours are 9:30 am – 6:00 pm but requires flexibility. The House Manager will be responsible for overseeing the general property management services for a determined number of residences through frequent home inspections, communicating, and working with vendors and the housekeeping teams. Additional responsibilities are owner and guest communication, rental management, runner tasks as needed, and any other items as requested. In this role, you will be part of creating the Discovery Land Company experience for our members, their guests, and fellow employees.

Requirements

  • College Degree preferred.
  • High School Diploma or equivalent required.
  • Minimum 2-3 years of experience in residential property management.
  • Previous experience and proven success in hospitality is strongly preferred.
  • Experience overseeing maintenance operations.
  • CPR, First Aid, AED Certification preferred.
  • Must have a valid driver’s license in good standing.
  • Strong understanding of property maintenance procedures.
  • Experience with vendor coordination
  • Experience with property management software
  • Strong organizational and time management skills.
  • Positive attitude and exceptional communication and interpersonal skills to deliver service to members, guests, and team members.
  • Professional demeanor with strong problem-solving skills.
  • Must be able to work flexible work hours/schedule including evenings, weekends, and holidays.
  • Long hours may be required due to business demands.
  • Ability to supervise vendors and contractors’ work.
  • Ability to work in a team environment.
  • Ability to stay calm and focused during the busiest of times.
  • Ability to read, write, speak, and understand English; additional languages preferred.
  • Ability to meet the physical demands of the position including, but not limited to, working indoors and outdoors in all weather conditions, standing, walking, and moving for periods of greater than eight (8) hours, and lifting and carrying items sometimes greater than fifty (50) pounds.

Responsibilities

  • Provide exceptional service and communication at all times with members/guests, and team members.
  • Execute member requests promptly and with professional demeanor.
  • Inspect all work completed at the home to ensure the highest quality of service.
  • Ensure member’s pre-arrival/post-departure checklists for each home are completed in a timely manner and accurately.
  • Stock and inspect properties prior to members arrival and ensure arrival checklist is completed to member specifications.
  • Meet members upon arrival, provide operational instructions for the home, and ensure everything is satisfactory.
  • Meet members in-person for check out if requested.
  • Upon member departure, ensure closing checklist is complete and home is secure.
  • Report any emergency needs to the Director of Residential Services.
  • Manage delivery of mail and packages to member’s home as needed.
  • Oversee the general maintenance plan for property.
  • Perform general maintenance tasks as applicable.
  • Vendor coordination
  • Preparing rental unit for guest arrival through walkthrough inspection and placement of home essentials.
  • In-person check-in and information walkthrough upon arrival
  • Assist guests with any operational or maintenance needs during their stay.
  • Punchlist walkthrough for newly constructed homes
  • Pre storm preparation and post storm inspection
  • Warranty management
  • Maintain owner’s binders inclusive of all appliance/amenity offerings within homes, to include owner’s guides and assistance with operating.
  • Create or provide reports and files that outline needs, schedules, expectations for the residences.
  • Create a lookbook.
  • Member/Owner reporting
  • Alert member of any noted issues during a walk through.
  • Create and send member/owner report monthly.
  • Create and update list of trusted local area vendors, stores, and services to recommend to members/guests.
  • Flexibility and ability to pivot to new projects and a desire to work in a fast-paced environment.
