About The Position

This position is responsible for supporting all aspects of the Human Resources Department, as well as supporting the responsibilities of the VP, Director of Human Resources & Clerk of MutualOne Bank, which include (but may not be limited to): recruitment, compensation, benefits, employee relations, compliance records, reports, supply ordering, postage management, Board portal/administrative support, and assisting with the MutualOne Charitable Foundation. The initial training period will be on-site. After the initial training period, time to be determined, this is a hybrid role.

Requirements

  • Bachelor’s degree in business administration or human resources; or equivalent experience in the human resources field.
  • Knowledge of federal and state human resources policies, procedures, and regulatory requirements.
  • Knowledge of employment and other labor laws.
  • Good analytical, interpersonal, communication and computer skills.
  • Proven organizational skills and ability to manage multiple priorities.

Responsibilities

  • Communicate annual departmental policies and obtain signed acknowledgement forms from employees.
  • Email announcements to employees regarding new employees, promotions, transfers, degrees, completion of classes, births, obituaries, retirement, etc.
  • Review employee timecards, employee punch change requests, floating holiday(s), PTO, vacation time, paid medical leave (PML), paid family leave (PFL), jury-duty, bereavement, and seminar time off on a bi-weekly basis and produce the reports for payroll processing.
  • Prepare bi-weekly payroll, payroll voucher, payroll tax voucher, and smart sheet to record the journal entries for the Finance Department. In addition, prepare, review and distribute the annual payroll calendar to employees.
  • Notify employees via email/Paycom regarding current job openings within MutualOne Bank.
  • Email the IT helpdesk and applicable departments regarding any new hires, transfers, promotions, leave starts/stops & exits for set-up, deactivation, etc. on various systems.
  • Coordinate new hire orientation, including preparing welcome bags, orientation paperwork, as well as providing information to new hires regarding having a photo taken at Paradise Photo for the Bank Directory.
  • Train employees/managers on the payroll system, perform daily maintenance and answer any questions employees/managers may have.
  • Update employee records on a regular basis (including but not limited to updates of personnel files with annual salary increases, promotions, transfers, etc.)
  • Monitor the performance review process, confirming that job descriptions are also reviewed by the supervisor and/or manager at least annually, and ensure that both the performance review and job description are completed and fully executed in a timely manner.
  • Maintain applicant tracking system, which includes uploading/reviewing resumes, emailing applications, monitoring and ensuring all applicable workflow steps are completed, etc.
  • Review and update the internal employee Intranet, as needed.
  • Oversee and maintain employee insurance changes, resolve issues related to enrollment, cancellation, and billing.
  • Administer the health, dental, vision, flexible spending accounts (health & dependent care), as well as supplemental insurance benefits, including payments for employees on leave, retirees, and COBRA payments for prior employees.
  • Process tMagic Teller Capture Transactions to deposit benefit payments, withdraw payments from bank accounts and post the payments to the applicable general ledger accounts.
  • Manage the leave process for the employees, including keeping the manager informed of the date the employee will begin leave, the length of time the employee will be out on leave and the date the employee will return to work.
  • Review bills (some monthly, quarterly, annually) for accuracy, ensure the proper GL# is listed on the bill, if applicable, and then email to invoices@mutualone.com for submission to Avid for approval and payment.
  • Support VP, Director of Human Resources & Clerk of MutualOne Bank by gathering information for various audits, including FDICIA, and the Payroll/Benefits/HR audit.
  • Assist the VP, Director of Human Resources & Clerk of MutualOne Bank, on special projects.
  • Assist with completing & reviewing Unemployment paperwork to ensure accuracy; upon approval by the VP, Director of Human Resources & Clerk of MutualOne Bank, submit paperwork to Department of Unemployment via their website.
  • Attend and participate in unemployment hearings, when necessary.
  • Order and maintain all supplies for employees of the Bank, as necessary, including welcome kit for new hires, bathroom supplies, office supplies, along with pads, batteries, etc. for the Defibrillator.
  • Bank Secrecy Act responsibilities, including completing annual basic Bank Secrecy Act training, reporting suspicious activity to the BSA Officer and “Knowing Your Customer.”
  • Completion of Information Technology trainings, as assigned and required
  • Manage the employee engagement initiatives, including annual awards banquet, employee recognition, special events, etc.
  • Communicate with managers regarding available ABA trainings and assign to employees and/or managers as appropriate, ensuring completion of the training in a timely manner.
  • Help managers, when needed, research additional training available for themselves or their employees.
