About The Position

The Human Resources Assistant provides administrative and clerical support to the HR department. This role is responsible for maintaining accurate employee records, supporting recruiting and onboarding processes, assisting with compliance documentation, and ensuring HR operations run efficiently in a regulated manufacturing environment. This position requires strong attention to detail, confidentiality, and the ability to manage multiple administrative tasks in a fast-paced setting.

Requirements

  • Associate’s or bachelor’s degree in human resources, Business Administration, or related field preferred. degree preferred.
  • 1+ year of administrative or HR support experience preferred.
  • Basic knowledge of employment laws and HR best practices.
  • Strong organizational and filing skills.
  • Proficiency in Microsoft Office (Excel, Word, Outlook).
  • Ability to handle sensitive information with discretion.
  • Strong written and verbal communication skills.

Nice To Haves

  • Experience in a manufacturing or regulated industry.
  • Familiarity with HRIS, ATS platforms (e.g., Jobvite), and timekeeping systems (e.g., Deputy).
  • Bilingual (English/Spanish) preferred.

Responsibilities

  • Maintain employee personnel files (physical and electronic).
  • Scan, file, and organize HR documentation.
  • Prepare employment verification letters.
  • Schedule meetings, interviews, and HR-related appointments.
  • Maintain HR department calendars and reminders.
  • Respond to routine employee inquiries and direct more complex issues to HR leadership.
  • Post job openings to ATS and job boards.
  • Review applications for completeness.
  • Schedule interviews and coordinate candidate communication.
  • Prepare onboarding packets and new hire documentation.
  • Conduct I-9 verification and ensure proper documentation retention.
  • Track completion of onboarding tasks and required paperwork.
  • Enter new hire data into HRIS and timekeeping systems.
  • Maintain confidentiality of all employee records.
  • Ensure personnel files are complete and compliant with company standards.
  • Track license expirations, certifications, and required training documentation.
  • Assist with leave paperwork (FMLA, ADA, etc.) by collecting documentation and routing appropriately.
  • Support internal audits and document preparation.
  • Maintain required workplace postings and policy acknowledgments.
  • Assist with timecard reviews and attendance tracking.
  • Communicate with managers regarding missing punches or discrepancies.
  • Prepare payroll reports for HR Manager review.
  • Track PTO balances and leave documentation.
  • Distribute benefits enrollment materials.
  • Collect completed benefits forms and submit to providers.
  • Track qualifying life events documentation.
  • Assist employees with basic benefits questions and escalate as needed.
  • Track completion of required training.
  • Maintain training logs and compliance spreadsheets.
  • Assist in preparing training sign-in sheets and materials.
  • Support annual review documentation tracking.
