About The Position

The HR Administrative Assistant supports day‑to‑day HR operations with a focus on timekeeping inputs, employee data accuracy, and HR communications. This role also manages social media tasks in partnership with HR/Recruiting. The ideal candidate is detail‑obsessed, deadline‑driven, and comfortable switching between timekeeping work and light creative tasks while maintaining confidentiality and professionalism in all transactions.

Requirements

  • 1–2 years in HR, payroll/timekeeping, or administrative support (or equivalent internship/coop experience).
  • Experience with a time & attendance system and basic HRIS data entry.
  • Proficiency in MS Office.
  • Strong written communication; comfort with light social posting and basic image/video edits using tools like Canva.
  • High attention to detail, confidentiality, and deadline reliability.

Responsibilities

  • Maintain employee files (electronic), ensuring accuracy, confidentiality, and retention compliance.
  • Assist with offboarding administration (update HR system, send exit interview)
  • Coordinate HR communications (policy updates, reminders, wellbeing, recognition).
  • Schedule interviews, assessments, and workflows in partnership with talent acquisition.
  • Support employee engagement activities (milestones, events, surveys).
  • Assist in the planning and execution of company sponsored events.
  • Manage HR inbox.
  • Track required certifications and training completion.
  • Order office supplies and organize.
  • Assist daily with timesheet entries
  • Reviewing and reconciling the timesheet entries between the company's accounting system and the client's timekeeping platform (myTrack System) - experience a plus.
  • Maintain holiday calendar.
  • Draft and schedule light social content (culture posts, community events, hiring spotlights) for HR channels, ensuring brand, tone, and approvals align with Marketing guidelines.
  • Maintain a simple content calendar; collect stories/photos (with consent) and coordinate approvals.
  • Monitor comments/messages on HR‑relevant channels and escalate per policy.
