About The Position

The Department of Medicine, Administration is seeking a Human Resources Generalist II. This position is located in the Department of Medicine’s Administrative Offices. The Department of Medicine is the largest department in the University of Florida’s College of Medicine with over 300 faculty and 1250 total employees in 12 subspecialty divisions, each with its own division chief, faculty and staff. There is a high level of confidentiality inherent to this position due to the type of information involved. The primary duties of this position are to originate appointments for faculty, TEAMS, and OPS, process employment paperwork, credentialing, and provider paperwork for new faculty appointments, as well as process additional pays for the entire Department of Medicine. Duties include, but are not limited to:

Requirements

  • Bachelor's degree in an appropriate area and two years of relevant experience; or an equivalent combination of education and experience.

Responsibilities

  • Faculty Recruitment & Hiring Assist divisions with the creation of new faculty position or filling vacant lines. Informs division of appropriate documentation needed by the department and college pertaining to faculty recruitment such as: letters of request, external advertisement requests, and proformas. Incumbent will assist the division in creation of the search committee to ensure its composition includes minorities. Enters faculty job requisitions into PeopleSoft. Informs divisions when requisitions have posted to the UF website and places the appropriate external ads. Provides search committees with university search and screen guidelines and selection criteria for interviewing the applicant pool. Prepares and submits letter of offer to the Department Chairman & Dean for signature. Works with selected candidate to ensure all new hire paperwork, pre-employment paperwork, credentialing (Shands and VA if applicable) information and malpractice forms are completed and submitted. Verifies candidate’s degree that is required for the position. Submits ePAFs into PeopleSoft closer to start date to make sure faculty member is hired proper to start due in order to be paid on time. Informs division when hire has been approved, malpractice insurance received, and credentials issued. This position will need to be able to solve problems and concerns that arise from faculty members.
  • TEAMS Recruitment & Hiring Receives department checklist for creation of new position or request to fill a vacant position from divisions for TEAMS positions. Requests position descriptions for new positions or vacant positions that need to be updated prior to advertising from divisional administrator. The Incumbent will enter these changes to the position descriptions into PeopleSoft before posting. Once the position has been approved, the incumbent will enter the job requisition into PeopleSoft for approval to post. Informs the division when position is posted and closing date. Once position has closed, send division interview summary sheet that list the candidates that have applied. Upon selection of desired candidate by division, incumbent will request approval of salary and verify education of the candidate with campus HR prior to the division making an official offer. Ensures the division completes interview evaluations on all candidates interviewed (TEAMS positions only). Processes hiring paperwork (W-4, time-limited letter, Notice of appointment, I-9, etc.) and ensures that candidates complete HIPAA, compliance training, and fulfill HAMS requirements (if applicable). Enters new hire into PeopleSoft and verifies approval at higher levels. Informs division when the hire has been completed.
  • Additional Pays Receives, verifies, and processes all additional pays for the Department of Medicine; once additional pay is approved updates distribution to match shift with the correct funding source.
  • Miscellaneous Personnel Functions Processes outside employment and dual employment requests submitted by the divisions and communicates requirements for proper reporting of outside and dual employment to department personnel. Maintains and updates personnel transaction log daily. Receives and routes telephone calls. Back up for checking and monitoring payroll. Back up for POI Processing. Back up for processing OPS and Student Assistant request.
