JOB SUMMARY: The Human Resources Administrative Intern supports the Human Resources Department by assisting with administrative, coordination, and documentation activities essential to HR operations. Reporting to the Director of Human Resources, this entry-level role provides foundational exposure to core human resources functions while maintaining a high level of professionalism, confidentiality, and attention to detail. This position does not include payroll responsibilities and works under direct supervision.

Requirements

  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Effective verbal and written communication skills.
  • Proficiency in Microsoft Excel, Word, and Outlook.
  • Ability to prioritize tasks, meet deadlines, and follow direction.
  • Ability to work independently and collaboratively in a team environment.
  • Ability to read, write, and comprehend English.
  • Frequently required to sit for extended periods while using a computer.
  • Ability to stand, walk, bend, and reach as needed throughout the workday.
  • Occasional lifting or moving of materials up to 25 pounds.
  • Ability to see, hear, and communicate effectively in an office environment.

Nice To Haves

  • College degree or enrollment in or completion of coursework in Human Resources, Business Administration, Psychology, or a related field preferred.
  • Entry-level position; prior HR experience not required.
  • Internship, office support, or administrative experience preferred.

Responsibilities

  • Assist with maintaining, organizing, and updating employee personnel documents, files, and HR forms.
  • Assist with new employee onboarding and employee offboarding activities, including preparation of materials and coordination of required steps.
  • Assist with leaves of absence administration and related documentation under supervision.
  • Assist with employment verifications (VOE), unemployment claims, SDI claims, and other state and local verification requests.
  • Assist with employment law compliance support and HR-related communications.
  • Assist in creating, updating, and maintaining employee training materials and tracking completion.
  • Coordinate with internal partners to ensure new office personnel have appropriate tools, equipment, and system access.
  • Conduct welcome interviews with field staff and assist with exit interviews under guidance.
  • Collect, analyze, and distribute HR data and reports, including monthly reports with detailed information.
  • Assist with recruiting efforts, including coordination, tracking, and administrative support.
  • Assist with annual open enrollment preparation and HR initiatives.
  • Assist management staff with performance review coordination and documentation.
  • Serve as an HR liaison for manager equipment and technology needs, coordinating with IT as appropriate.
  • Assist with background checks and pre-employment screening tracking.
  • Assist with internal HR audits and documentation reviews.
  • Support HR projects, research, and process documentation as assigned.
  • Maintain confidentiality of employee and organizational information at all times.
  • Perform additional responsibilities and special projects as assigned.
