About The Position

The Human Resources Manager is responsible for leading the Human Resources Function of Virginia Ear Nose and Throat Associates, P.C. and affiliated companies (VENT).  VENT views Human Resources (HR) as a strategic resource. The Human Resources Manager, through the implementation, enforcement and management of appropriate Personnel Policies, the Performance Review process, employee development, and compensation plans, will strive towards making VENT a preferred employer in the Metro Richmond area.  Allowing VENT to develop and enjoy a high performing, efficient, well trained, and motivated work force. On a day-to-day basis, the Human Resource Manager will lead and direct the routine functions of HR, including hiring and interviewing staff, administering pay, benefits, and leave, and developing and enforcing company policies and practices.

Requirements

  • College degree in Business Administration, Human Resources or a related field or equivalent training and experience
  • Computer proficiency, preferably to include Microsoft Office products such as Word and Excel.  Experience with an electronic practice management system and electronic medical record system would be very helpful but not required.
  • Experience with ADP, Paychex, or other payroll/HRIS applications.

Responsibilities

  • Manages the talent acquisition process to include recruitment, interviewing, extending employment offers, hiring, reference checks and background screening of qualified job applicants for open positions.
  • Implements new hire orientation and On-Boarding, to include developing a position specific on-boarding plan, assigning mandatory training, handbook review, and enrollment in benefits and payroll.
  • Handles employment-related inquiries from applicants, employees, managers, and outside sources.
  • Maintains compliance with federal, state, and local employment laws and regulations, and recommended best practices; reviews policies and practices to maintain compliance.
  • Provides support and guidance to management, and other staff when complex, specialized, and sensitive issues arise such as investigating allegations of wrongdoing, and terminations.
  • Coordinates and administers performance reviews and salary reviews.
  • Maintains employee and workplace privacy.
  • Maintains the personnel policy manual and makes updates when necessary.
  • Ensures VENT policies are broadly communicated, understood, and enforced.
  • Ensures VENT adherence to all government mandated personnel regulations.
  • Maintains all personnel files.
  • Facilitates/maintains records of worker’s compensation, FMLA, ADA and unemployment claims.
  • Conducts exit interviews and shares data with managers and the Chief Executive Officer.
  • Promotes and coordinates employee events.
  • Becomes expert at utilizing the resources of ADP for both payroll and HRIS
  • Counsels employees and managers through employee relations issues
  • Enrolls new employees for all applicable benefits including health insurance, health savings accounts, flexible spending accounts, dental insurance, vision insurance, STD, LTD, and life insurance.
  • Coordinates and administers annual enrollment.
  • Enrolls employees in retirement plans based on eligibility.
  • Along with the Controller, calculates the quarterly 401(k) Safe Harbor matches in coordination with the (Third Party Administrators) TPA.
  • Submits the census report to the TPA at the beginning of each year to initiate the process of finalizing the contributions for all employees to the retirement plans for the previous year.
  • Reviews and approves all benefit invoices monthly and submits to Finance for payment.
  • Ensures all eligible employees are offered COBRA benefits upon termination.
  • Monitors the timekeeping system daily.
  • Works with the managers on verifying the accuracy of time entry for the bi-weekly payroll.
  • With Finance, submits the payroll bi-weekly.
  • Records all pay increases and all appropriate deductions for the employees including health and dental insurance premiums, contributions to health savings and/or flexible savings accounts, and contributions to the 401(k)-retirement plan.
  • Calculates the employer’s responsibility for the benefits including health and dental premiums, short- and long-term disability, and life insurance.
  • Works with the CEO on payrolls for bonuses for the physicians, audiologists, and other applicable employees.
  • Manages the recording/payment of garnishments.
  • Ensures all time clocks are maintained in good working order.
  • Ensures Shareholder Physicians are following all enrollment deadlines and other benefit requirements.
  • Attends the Managers meetings.
  • Performs all other permanent and/or temporary duties as assigned by the Chief Executive Officer and/or the physicians.
