About The Position

AirLogix delivers complex HVAC and Refrigeration servicing & construction projects for commercial clients across the NYC metro area. Our work supports data centers, supermarkets, healthcare facilities, cold storage, and critical mechanical environments. We are expanding and seeking detail-driven professionals who want to grow in construction project management. Role Summary The Construction Project Support Specialist works with the Assistant Project Manager to ensure mechanical and refrigeration construction projects operate smoothly, on schedule, and with proper documentation. This role supports submittals, procurement, compliance, reporting, and coordination with vendors, subcontractors, and internal teams.

Requirements

  • High school diploma or equivalent (Associate’s preferred)
  • ~2 years construction coordination, construction administration, or related experience. HVAC/R experience preferred but not required.
  • Proficiency with Microsoft Office (Word, Excel, Outlook)
  • Ability to read construction drawings and specifications
  • Strong written and verbal communication skills
  • High attention to detail and strong organizational skills
  • Valid driver’s license and reliable transportation for site visits

Nice To Haves

  • Experience in HVAC, refrigeration, mechanical, or MEP construction
  • Familiarity with commercial refrigeration equipment (walk-ins, cases, etc.)
  • Experience with project management software (Procore, PlanGrid, Bluebeam, etc.)
  • Familiarity with SMACNA, ASHRAE, IIAR, EPA regulations or similar
  • Experience with union or prevailing wage projects
  • Understanding of environmental and refrigerant compliance requirements
  • Detail-oriented and proactive
  • Able to manage multiple priorities
  • Professional, team-oriented, and clear communicator
  • Fast learner with interest in construction and mechanical systems

Responsibilities

  • Prepare and track submittals, shop drawings, and product data
  • Maintain project documentation (contracts, RFIs, change orders, correspondence)
  • Process drawing revisions and ensure current document distribution
  • Support closeout documentation including O&M manuals and warranties
  • Obtain quotes, issue POs, and track equipment/material deliveries
  • Coordinate lead times and equipment specifications with suppliers
  • Maintain material and equipment logs
  • Expedite long-lead refrigeration and HVAC components
  • Prepare meeting minutes, daily reports, and project updates
  • Coordinate subcontractor schedules, inspections, and site logistics
  • Serve as point of contact for routine project inquiries
  • Review project specifications for contract compliance
  • Track inspections, testing, and regulatory approvals
  • Assist with safety documentation and site compliance requirements
  • Support EPA and refrigerant compliance tracking (AIM Act, leak logs, documentation)
  • Assist in preparing bid packages and proposals
  • Collect pricing and cost data for estimates
  • Help draft scopes of work and technical documentation
  • Review vendor and subcontractor proposals
