About The Position

The Information Systems Specialist, Associate supports the Office of the Registrar Document Management Center by administering, maintaining, and providing technical support for document management system and associated data integrations. This position applies technical expertise in database systems, reporting platforms, and document imaging technologies to support automated imports, data integrity, quality assurance, and complex reporting for centralized and decentralized administrative systems. Requirements

  • Bachelor’s Degree and one year of related experience; or a combination of education and experience.

Responsibilities

  • Ensure documents from multiple databases are successfully migrated into the system of record by developing and maintaining internal controls and reports that support data integrity. Monitor automated import processes to ensure proper functionality.
  • Plan, develop, implement, maintain, and enhance document import processes using available resources. Coordinate and track the resolution of system issues by collaborating with database administrators (DBAs), functional leads, and system administrators.
  • Serve as the primary point of contact for internal customers regarding document management system issues. Provide guidance, reports, and support to coworkers to identify and correct errors.
  • Develop, maintain, and distribute reports for university customers using various reporting tools. Update reports based on customer needs and evaluate end-user requests for new or modified reports.
  • Convert project specifications into logical database processes and computer code. Perform routine to complex data analysis and reporting using tools such as ARGOS, Structured Query Language (SQL), and Procedural Language SQL (PL/SQL).
  • Assist managers in effectively utilizing report data. Review, edit, test, document, and perform quality assurance on reports and data extracts.
  • Coordinate quality assurance measures by establishing systematic methods for reviewing document image quality and index accuracy. Generate and distribute quality assurance reports.
  • Perform document import tasks, train Enrollment Services Assistant (ESA) staff as issues arise, log and report errors, and provide customer service to students, faculty, and staff. Maintain individual production standards while ensuring daily document accuracy.
  • Support daily student record processing operations from intake through completion, including receiving documents, coding, data entry, scanning, indexing, tracking, and understanding Enrollment Services workflows and procedures.
  • Serve as a liaison for internal and external customers regarding mail processing, student records, and imaging issues. Assist staff and administrators with imaging and mail-related concerns.
  • Maintain working knowledge of Banner, Xtender, Slate and related student information systems.
