About The Position

Are you someone who enjoys structure, accuracy, and keeping operations running smoothly behind the scenes? Do you take pride in details, follow‑ups, and helping teams stay on track? If so, you may be exactly who we’re looking for. Our Insurance Department is seeking an Insurance Support Specialist—a key team member who supports administrative workflows, ensures compliance accuracy, and strengthens the work of our Client Service Agent and Sales Agent teams. This role plays a critical part in maintaining clean data, timely follow‑through, and consistent operational excellence.

Requirements

  • A high school diploma or equivalent; additional coursework in administrative, insurance, or compliance areas is a plus.
  • Experience in insurance, compliance, administrative support, or customer service is preferred.
  • Familiarity with CRM or Agency Management Systems—or the ability to learn quickly.
  • Strong attention to detail, accuracy, and analytical thinking.
  • Ability to manage multiple tasks in a fast‑paced environment.
  • Consistent and professional follow‑up skills.
  • Clear communication skills, both written and verbal.
  • Ability to work both independently and in collaboration with internal teams.

Responsibilities

  • Monitor and manage incoming claims‑related emails, entering information accurately into customer CRM profiles.
  • Support the commission and commission reconciliation process within the Agency Management System (AMS).
  • File insurance cancellation emails promptly and correctly in the CRM.
  • Assign underwriting memos to Client Service Agents and track follow‑up and completion.
  • Manage orphan accounts, including attaching policies, documenting direct‑written policies, and ensuring commission corrections are addressed.
  • Update new business transactions in the AMS to prevent duplicate reporting.
  • Perform compliance reviews by examining applications for completeness and accuracy, and following up with agents or customers to obtain missing information.
  • Maintain accurate deceased member reports according to company procedures.
  • Provide general clerical and operational support to the insurance team.
  • Adhere to established workflows, compliance guidelines, and internal controls.
  • Maintain confidentiality with all client documents, data, and correspondence.
