We are currently seeking an experienced, motivated Intake Assistant to join our team in San Antonio. Requirements

Excellent verbal and written communication skills, with strong grammar, spelling, and attention to detail
Strong organizational and time-management skills with the ability to prioritize multiple tasks
Ability to work independently and collaboratively in a fast-paced environment
Ability to track, manage, and complete multiple assignments accurately and on time
Demonstrate professionalism by following all firm policies, including attendance, dress code, confidentiality, and security procedures
Proficiency with Microsoft 365 (Word, Outlook, Excel) and comfort using modern office technology
Flexibility to work overtime and occasional weekends as needed
Bilingual (Spanish-speaking strongly preferred)
High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred
3+ years of experience in a civil law firm preferred
Experience with Microsoft 365 required

Nice To Haves

Plaintiff personal injury experience is a plus
Prior receptionist experience in a high-volume call environment preferred
Administrative support experience preferred
Filevine experience preferred

Responsibilities

Serve as the primary point of contact for incoming calls, including all intake calls
Communicate with potential clients (Spanish-speaking required)
Sort and route new and existing client calls appropriately
Provide receptionist coverage and backup support as needed
Act as receptionist for a separate office location (AI office)
Welcome guests and clients, and assist with setting up conference rooms for meetings
Maintain a professional, organized, dependable, and service-oriented presence at all times
Perform general receptionist, administrative, and office assistant duties
Support intake assistant responsibilities as assigned
Order office supplies and maintain inventory
Coordinate with and communicate effectively with firm vendors
