About The Position

The Intake Assistant assists the Program Manager and Clinical Counselor(s) in the daily operations of the program. The Intake Assistant must be able to effectively communicate in person and over the phone with participants and outside referral sources.

Requirements

  • Must have excellent organizational skills.
  • Knowledge of MS Office applications.
  • Must have above average written and oral communication skills.
  • Must have excellent typing and editing skills.
  • Must be able to respond to crisis situations effectively.
  • Must be able to provide support and set limits when needed.
  • Must be willing to work flexible hours, including 2 evenings per week.
  • Associates degree from a regionally accredited educational institution which has U.S. Department of Education approval, or, two (2) years’ experience in an office environment is preferred.
  • Sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.
  • Repetitive motion. Substantial movements (motions) of the wrists, hands, and/or fingers.
  • The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading.
  • Employees must be able to perform the essential functions of the position satisfactorily and, if requested, reasonable accommodations will be made to enable employees with disabilities to perform the essential functions of their job, absent undue hardship.

Responsibilities

  • Answers and screen all intake telephone calls and gathers all necessary data from potential participants and referral sources.
  • Gives accurate information on agency services to callers regarding available services, hours of operation and other static information.
  • Makes appropriate referrals within agency departments or schedule participants for initial screening/assessment interview.
  • Makes appropriate referrals to other agencies when services are not provided by HAS.
  • Responds to internal and external referrals in a timely manner via phone or e-mail.
  • Confirms participants’ attendance for scheduled intake appointments.
  • Follows up with participants who do not show up for scheduled intake assessment appointment and for initial group sessions.
  • Meets with walk-in participants on an as needed basis to screen and schedule or refer to beneficial services.
  • Escorts participants to the appropriate agency department.
  • Composes monthly status reports and/or other documents pertaining to participants or perspective participants for specified referral source(s) using information within participant’s EHR.
  • Generates weekly activity reports and Funder reports as requested.
  • Verifies insurance benefits.
  • Conducts group sessions as assigned, when necessary.
  • Attends and participates in agency and staff meetings.
  • Participates in agency fundraising efforts.
  • Will be crossed trained as needed.
  • Perform other duties as assigned.
