Job Description: The Intake Paralegal will play a key role in supporting the firm by guiding new clients through the early stages of their legal journey with clarity, professionalism, and empathy. In this role, the paralegal will handle structured intake meetings, organize case files, and ensure that attorneys receive complete, accurate, and well‑prepared documentation. Candidates who thrive in fast‑paced environments, communicate with composure, and naturally bring order to complex information will excel in this position. This role is ideal for someone who values precision, enjoys building rapport with clients, and is motivated by helping legal teams operate smoothly. The Intake Paralegal will contribute meaningfully to a process that sets the tone for each client’s experience and the success of every case.

Requirements

  • Proficiency in Google Workspace required
  • Emotional intelligence and professionalism
  • Proactive problem‑solving
  • Comfort using technology, digital files, and case management systems
  • Ability to maintain confidentiality
  • Consistent follow‑through and accuracy in deadline‑driven environments
  • Experience working in a law firm
  • Prior experience in a professional office environment as a Paralegal, Legal Assistant
  • Background in family law strongly preferred

Nice To Haves

  • Experience using CLIO or other case management software preferred
  • Background in family law strongly preferred

Responsibilities

  • Ensure all materials are prepared and attorney‑ready before review
  • Document all communication and maintain detailed case notes
  • Monitor intake‑related deadlines and escalate issues when needed
  • Provide clear explanations of procedural next steps while avoiding legal advice
  • Coordinate with attorneys and internal team members to move cases forward efficiently
  • Identify missing information and follow up proactively
  • Maintain complete and accurate case files within the case management system
  • Request, collect, and track all required documentation and disclosures
  • Gather, document, and organize all relevant case facts and background information
  • Maintain professional, empathetic communication with clients throughout the intake phase
  • Conduct structured intake meetings with newly retained clients
  • Participate in meetings and contribute to process improvement initiatives
  • Maintain organized digital files and follow firm procedures for documentation, security, and confidentiality
