About The Position

The Intake Specialist is responsible for screening prospective clients by phone and in person to determine appropriateness for services and facilitate scheduling of intake appointments via the access system, working closely with support and clinical staff. This role includes collecting and entering accurate client demographic and referral information into electronic systems, providing clear information to clients about available services and next steps, and coordinating with referral sources to ensure timely and effective communication. The Intake Specialist monitors the referral pipeline to reduce delays and no-shows, escalates urgent or high-risk cases to clinical staff for immediate attention, and supports quality improvement initiatives by tracking intake metrics and identifying barriers to access.

Requirements

  • Bachelor’s degree in Counseling, Social Work or Psychology or relevant experience (required)
  • 1-2 years (required)
  • Experience conducting client screenings or eligibility assessments in a healthcare, behavioral health, or social services setting.
  • Previous experience scheduling appointments and managing referral processes.
  • Experience entering and managing client data in electronic health record (EHR) systems or similar databases.
  • Background in providing clear and compassionate communication to clients and families regarding services and processes.
  • Experience coordinating with multidisciplinary teams, referral sources, and community agencies.
  • Familiarity with handling sensitive client information in compliance with confidentiality regulations (e.g., HIPAA).
  • Experience identifying and escalating urgent or high-risk client situations to appropriate clinical staff.
  • Influenza Vaccinations are a requirement for employment. If you are not currently vaccinated you will be required to receive the vaccination prior to hire date, during the influenza season, if you are offered employment, unless you request and receive an approved medical exemption.

Nice To Haves

  • Master’s degree and bilingual in Spanish (preferred)
  • Participation in quality improvement or access-to-care initiatives is a plus.
