About The Position

The Outpatient Administrative Supervisor is responsible for overseeing daily front desk operations within the Outpatient Department. This position ensures efficient patient access, smooth clinic flow, accurate administrative processes, and a safe, therapeutic environment. The Administrative Supervisor provides leadership to front desk staff while supporting clinical, utilization management, billing, and documentation compliance needs in alignment with North Star Behavioral Health standards and regulatory requirements.

Requirements

  • Minimum of 2 years of experience in healthcare front desk, medical office, or outpatient services required
  • Knowledge of healthcare scheduling, insurance verification, and authorization processes
  • Familiarity with electronic health records and compliance standards
  • Strong organizational and multitasking skills
  • Effective verbal and written communication skills
  • Ability to manage patient flow in a fast-paced outpatient environment
  • Demonstrated leadership and team coordination abilities
  • Commitment to patient-centered, trauma-informed care

Nice To Haves

  • Prior supervisory or lead experience preferred
  • Experience working with military or government-regulated documentation preferred

Responsibilities

  • Schedules patient and staff appointments to support timely access to care and efficient outpatient operations.
  • Ensures a smooth, professional, and welcoming check-in Coordinates patient flow between outpatient programming and appointments and maintains a safe, therapeutic milieu in the lobby.
  • Conducts vital sign assessments as needed in support of provider appointments.
  • Supports business office functions, including accurate and timely posting of charges.
  • Assists with ensuring chart compliance through audits and documentation review, including verifying required documentation sharing for military patients with behavioral health providers and care coordinators.
  • Supervises and manages front desk staff to ensure timely completion of assigned tasks and adherence to departmental standards.
  • Performs other duties as assigned.
