Requirements

  • Experience: At least 1-2 years of experience in project management or a related role.
  • Smartsheet Expertise: Hands-on experience with Smartsheet for information gathering, project tracking, collaboration, automation, and reporting.
  • Proficiency in Microsoft Office Suite: Strong skills in Microsoft Excel, Word, PowerPoint, and Outlook.
  • Languages: Fluent in both English and Spanish, with written and verbal communication skills in both languages a plus.
  • Strong Communication Skills: Ability to communicate effectively with internal teams, clients, and stakeholders. Demonstrates clarity, confidence, and professionalism in all interactions.
  • Strong Organizational Skills: Exceptional time management abilities and the capacity to manage multiple projects simultaneously. Highly detail-oriented and able to prioritize tasks in a fast-paced environment.
  • Comfortable with Cross-Functional Teams: Able to collaborate effectively with diverse teams, departments, and stakeholders, while maintaining a positive, productive atmosphere.
  • High Energy, Personable, and Resourceful: Bring enthusiasm, energy, and a problem-solving attitude to every project. Able to stay productive, maintain motivation, and resourcefully overcome challenges in dynamic settings.
  • Problem-Solving: Ability to think critically, identify potential issues, and provide solutions to keep projects on track.
  • Remote Work Adaptability: Comfortable working independently in a remote environment and collaborating with distributed teams.

Nice To Haves

  • Familiarity with Microsoft Teams and AI related applications is a plus.

Responsibilities

  • Project Coordination: Assist in planning, executing, and closing projects within established timelines and budgets. Ensure projects are completed on time and meet all required specifications.
  • Smartsheet Management: Use Smartsheet to track project progress, create reports, and manage workflows. Ensure all project milestones are met and monitor team performance.
  • Effective Communication: Demonstrate strong communication skills by facilitating clear and concise updates to cross-functional teams, stakeholders, and clients in both English and Spanish.
  • Document Management: Create and maintain project documentation, reports, meeting agendas, and presentations using Microsoft Teams, Word, Excel, and PowerPoint.
  • Risk Management: Proactively identify potential risks and challenges in projects. Work with the team to resolve issues promptly and minimize disruption.
  • Scheduling: Organize and maintain project schedules, ensuring plans reflect reality, variance is minimal, and resources are effectively utilized to meet deadlines.
  • Stakeholder Interaction: Serve as the primary point of contact for clients, vendors, and internal teams, ensuring expectations are met and quality standards are upheld.
