Ideal Candidate Profile: A motivated leader who takes ownership of the administrative function on large-loss projects, thrives in both office and field settings, and can balance detail-oriented tasks with big-picture coordination. Comfortable working in high-pressure situations and building strong relationships with clients and consultants. Ready to mobilize when opportunities or disasters arise. Brings initiative and a business-development mindset, with the ability to represent the company at government and industry trade shows. Summary: The Large Loss Project Coordinator serves as the administrative lead on large commercial restoration projects across multiple companies within the portfolio. Manages all aspects of project documentation from initiation through closeout, ensuring accuracy, timeliness, and consistency. Coordinates closely with clients, vendors, and internal teams, while providing field support and overseeing daily time and materials (T&M) tracking. Plays a key role in maintaining organized records and supporting successful project execution in both office and on-site environments.

Requirements

  • Strong organizational and leadership skills, with the ability to independently manage multiple priorities.
  • Proficiency in Microsoft Word and Excel (required).
  • Excellent written and verbal communication skills.
  • Ability to adapt quickly to changing environments and project demands.
  • Strong interpersonal skills with a customer-focused mindset.
  • Willingness and ability to travel with little notice for uncertain durations.
  • Valid driver’s license and ability to pass an MVR (Motor Vehicle Record) check.
  • Must be able to pass a background check.
  • Must be able to pass a drug screen.
  • Must be able to travel

Nice To Haves

  • Prior experience in restoration, construction, or project administration is preferred but not required.

Responsibilities

  • Serve as the administrative leader on large commercial and CAT response projects from cradle to grave.
  • Manage daily T&M (time and materials) input on large projects for billing and documentation.
  • Source new opportunities through platforms such as BidNet, Builders Exchange, and SAM.gov.
  • Potentially attend government or industry trade shows to help increase sales, network with potential customers, and identify new opportunities.
  • Travel as needed—often with limited notice and for extended periods—based on project or disaster response needs.
  • Work directly with clients, consultants, and vendors to discuss, prepare, and maintain project documentation.
  • Clerk large-loss projects, ensuring complete and accurate records.
  • Support both office-based and field operations, including working in challenging on-site conditions during catastrophe response.
  • Coordinate additional clerks when multiple projects are active, ensuring documentation processes are standardized and successful across all projects.
  • Assist project teams with vendor contact and coordination on large-loss jobs.
  • Maintain proficiency and efficiency in Microsoft Word and Excel to manage reporting and documentation.
  • Communicate effectively with internal and external stakeholders to ensure transparency, accuracy, and alignment on project requirements.
