About The Position

Kent is looking for a Lead Document Controller to be based in our client office in Houston, TX and support regional project site(s). To be responsible for overseeing the document control function within the organisation. To lead a team of document controllers, ensuring the accurate and timely management of documents throughout their lifecycle. To collaborate with various departments to establish and maintain document control processes, ensuring adherence to quality standards and regulatory requirements.

Requirements

  • Capable of performing duties with no direct supervision and within agreed schedules and budgets.
  • Understands the project deliverables, milestones and required tasks and targets through the project progress measurement system.
  • Capable of using initiative, knowledge and experience to recognize, highlight and address opportunities and threats as and when they emerge.
  • Experience with cost control, ideally within EPC or EPCM projects and familiarity with the lifecycle of EPC and EPCM projects, desirable.
  • Experience collaborating with multidisciplinary teams.

Responsibilities

  • Access web-based system to upload and retrieve documentation.
  • Ensure compliance with document management standards and procedures including adherence to contractual document numbering practices and electronic repository structure.
  • Manage all filing system development.
  • Manage all logs and registers associated with the project.
  • Input daily project information into the computer system.
  • Draft correspondence and weekly/monthly project status reports.
  • Working with the Project Management Team and the disciplines, the Document Controller is responsible for assuring smooth information exchange of the established protocol.
  • Responsible for the following DCC functions, Document Control, Vendor Document Control, Record management, Library & Archive and Construction / Site Office Document Control.
  • Fully conversant with all Contract / Project requirements.
  • Resolve issues between Project Management Team / disciplines or bring to the attention of the Information Management Manager and Project Services Manager.
  • Ensure deliverables submission to stakeholders are issued in a timely manner.
  • Resolve issues within the DCC or bring them to the attention of the Information Management Manager and Project Services Manager.
  • Be responsible for overall discipline and timekeeping within the DCC.
  • Perform related duties as and when instructed by Information Management Manager.
  • Lead and manage a team of document controllers, providing guidance, training, and support.
  • Foster a collaborative and efficient work environment within the document control team.
  • Continuously assess and improve document control processes for efficiency and effectiveness.
  • Collaborate with cross-functional teams to streamline workflows and enhance document control systems.
  • In addition to the responsibilities listed herein, the employee may be required to perform other ad-hoc tasks as needed or directed by the supervisor or management. These tasks will be within the reasonable scope of the employee's skills, capabilities, and role within the organization. The intent of this provision is to allow for flexibility and adaptability in meeting the dynamic needs of the organization, ensuring that operational requirements can be met efficiently. All such tasks will be assigned considering the employee's current workload and with respect to their professional development.
