In this role you will plan, coordinate, and execute high-impact events that enhance brand visibility, engage target audiences, support organizational goals, and maximize company presence at minimal cost. Key Roles and Responsibilities: Typical tasks may include, but are not limited to, the following: Develop and Execute Event Strategies: Create and implement comprehensive event plans and strategies to effectively position events, drive customer engagement, and support organizational goals. Ensure alignment with key initiatives and objectives. Budget and Resource Management: Prepare and manage event budgets, ensuring cost-effective allocation of resources. Negotiate with vendors to maximize value and stay within budget. Assume primary ownership of programs while limiting third-party involvement to increase event ROI. Coordinate and Manage Event Logistics: Oversee all logistical aspects of events, including venue selection, catering, transportation, and accommodation. Lead regular project and program meetings to ensure all activities are executed smoothly and on time. Vendor and Stakeholder Collaboration: Partner with officer teams, external vendors, and internal stakeholders to champion high-profile and unique event experiences. Build a high level of trust through face-to-face interactions with C-Level customers, Officers, Board Members, celebrities, and professional athletes. Performance Monitoring and Reporting: Track and analyze the performance of events using key performance indicators (KPIs) and metrics. Conduct post-event evaluations to assess success and provide insights for future improvements. Requirements

  • 5+ years managing trade shows and events including end-to-end planning and on-site execution.
  • Trade show installation execution: Proven experience coordinating booth installation/dismantle (I&D), freight/material handling, labor calls, show services orders, and move-in/move-out schedules.
  • Project management: Demonstrated ability to manage multiple concurrent projects, adhere to workback schedules, track risks/issues, and deliver on time.
  • Vendor & partner management: Experience managing external vendors (e.g., exhibit houses, I&D labor, show contractors, AV, graphics, shipping) and negotiating timelines and deliverables.
  • Budgeting/expense tracking: Experience developing and maintaining budgets, reconciling invoices, and tracking expenses across events.
  • Database skills (Microsoft Access): Ability to create and maintain Microsoft Access databases (tables, relationships, queries, forms, and reports) for expense tracking and reporting; ability to import/export data (e.g., Excel/CSV) and maintain data integrity.
  • Physical/operational: Ability to be on-site for long periods and work in a convention center environment as needed (e.g., walking show floor, overseeing installation and dismantle).

Nice To Haves

  • Experience managing large-scale exhibits (e.g., 20x20 and larger)
  • Familiarity with major convention centers and show contractor processes (e.g., ordering utilities, rigging, internet, electrical, exhibitor-appointed contractor requirements).
  • Advanced Microsoft Access capabilities (VBA/macros), Power BI/Tableau integration, or automated reporting workflows.
  • SharePoint / OneDrive administration: Working knowledge of SharePoint and OneDrive administration to support team collaboration and document control, including site/library structure, permissions/access management, versioning, folder taxonomy, retention/governance basics, and ensuring consistent file organization and availability
  • Knowledge of shipping logistics and inventory/asset management for exhibit properties.
