About The Position

The Lead Mailroom Associate supports the daily operations of University Mail Services by coordinating mail and package processing, providing guidance to mailroom staff, and serving as a point of contact during assigned shifts. This role ensures timely, accurate, and secure delivery of mail and parcels to faculty, staff, students, and campus departments while maintaining compliance with university policies and postal regulations. The Lead Mailroom Associate plays a hands-on leadership role, balancing operational duties with staff oversight, customer service, and problem resolution. Typical Working Hours: Mondays to Fridays, 8:30AM - 5:30PM

Requirements

  • High school diploma or GED with 2–3 years of mailroom, logistics, or warehouse experience.
  • Demonstrated experience providing guidance or informal leadership to a team.
  • Strong customer service skills and basic computer proficiency (email, spreadsheets, tracking systems).
  • Ability to lift up to 50 lbs with or without accommodation.

Nice To Haves

  • Experience in a university or large institutional environment.
  • Familiarity with multi-carrier operations, USPS regulations, and package locker systems.
  • Experience working with student employees or temporary staff.

Responsibilities

  • Oversee daily mailroom workflows to ensure efficient processing of incoming and outgoing mail.
  • Receive, sort, and log parcels from all carriers (including USPS, UPS, FedEx, Amazon, and DHL), ensuring proper handling of accountable and signature-required items.
  • Coordinate outgoing mail preparation, including metering, labeling, and carrier pickups.
  • Serve as the lead worker for associates, student workers, and temporary staff by assigning daily tasks and prioritizing workloads.
  • Provide on-the-job training and monitor staff adherence to safety procedures and service standards.
  • Escalate performance or operational issues to management as needed.
  • Serve as the primary point of contact for campus partners regarding mail status, delays, and service inquiries.
  • Resolve routine issues professionally and communicate operational updates or disruptions to leadership.
  • Utilize mail management software and package lockers to maintain accurate tracking records and documentation.
  • Ensure all operations comply with USPS regulations, university policies, and confidentiality standards.
  • Enforce safe handling techniques and ensure mailroom spaces remain clean, organized, and secure.
  • Promptly report any safety hazards, equipment issues, or security concerns.
  • Maintain a schedule that may include early mornings, peak academic periods, or inclement weather operations.
