About The Position

Responsibilities: Leave & Disability Administration Administer and oversee all leave programs, including: Family and Medical Leave Act (FMLA) Short-Term Disability (STD) Long-Term Disability (LTD) Paid Parental Leave Intermittent and general Leaves of Absence (LOA) Partner with third-party vendors to manage claims, track leave status, and ensure timely processing Monitor leave exhaustion and coordinate next steps with employees, managers, and vendors Accommodation & Compliance: Manage and evaluate accommodation requests under the Americans with Disabilities Act (ADA) Facilitate the interactive process with employees and managers Coordinate and review ergonomic accommodation requests Ensure compliance with all applicable federal, state, and company policies Payroll, Benefits & Workforce Management: Maintain accurate payroll status updates for employees on leave Coordinate benefit deductions to ensure continued coverage during leave Process Qualifying Life Events (QLEs) related to leave status changes Manage and update timecards within UKG Workforce Management (WFM) Ensure proper documentation and system updates across HRIS and payroll platforms Workers’ Compensation Coordination: Partner with third-party administrators to manage workers’ compensation cases Track claims, communicate with stakeholders, and ensure appropriate documentation Employee Support & Communication: Serve as a primary point of contact for employees regarding leave and accommodations Communicate complex leave processes clearly and compassionately Proactively engage with employees and, when appropriate, designated family members to guide them through leave procedures Maintain timely and consistent communication with employees, managers, and vendors Process Improvement & Vendor Transition: Support the transition of leave administration to a third-party vendor Document current processes and identify opportunities for efficiency Assist in implementing new workflows, ensuring continuity of service and compliance Partner with internal stakeholders to ensure a smooth transition of responsibilities Knowledge & Requirements: 3+ years of experience in leave administration, benefits, or HR operations Strong working knowledge of FMLA, disability programs, and leave laws Experience managing ADA accommodations and the interactive process Familiarity with HRIS, payroll systems, and workforce management tools (UKG preferred) High attention to detail with strong organizational and documentation skills Excellent verbal and written communication skills Ability to handle sensitive and confidential information with discretion Preferred: Experience working with third-party leave or disability vendors Knowledge of workers’ compensation processes Experience supporting system or vendor transitions within HR Key Competencies: Detail-oriented with strong recordkeeping practices Proactive and responsive communicator Comfortable handling sensitive employee situations with empathy and professionalism Ability to manage multiple priorities in a fast-paced environment Strong problem-solving and decision-making skills

Requirements

  • 3+ years of experience in leave administration, benefits, or HR operations
  • Strong working knowledge of FMLA, disability programs, and leave laws
  • Experience managing ADA accommodations and the interactive process
  • Familiarity with HRIS, payroll systems, and workforce management tools (UKG preferred)
  • High attention to detail with strong organizational and documentation skills
  • Excellent verbal and written communication skills
  • Ability to handle sensitive and confidential information with discretion
