About The Position

We’re seeking a detail‑oriented and empathetic Leave of Absence (LOA) Specialist to support our employees throughout their leave journey. In this role, you will partner closely with our third‑party leave administration team, internal HR partners, and state agencies to ensure a smooth, compliant, and supportive experience for every employee navigating a leave. This position is ideal for someone with general HR experience who is looking to grow their knowledge in leave management, accommodations, and compliance while working in a collaborative, fast‑paced environment.

Requirements

  • 1+ year of general Human Resources experience
  • Some exposure to leave of absence management—even a few months of experience is great
  • Experience using an HRIS system
  • Basic Excel skills (sorting, filtering, navigating spreadsheets)
  • Strong attention to detail and a commitment to providing an excellent employee experience
  • Ability to work with sensitivity and discretion while handling confidential information

Nice To Haves

  • Familiarity with employee relations or benefits administration is a plus

Responsibilities

  • Provide oversight of all leave of absence claims in partnership with our third‑party administrator, handling escalations and resolving complex or time‑sensitive issues.
  • Investigate and resolve escalated cases, such as delayed EDD approvals or premature terminations during leave.
  • Maintain accurate and timely LOA documentation using our internal HRIS system and Excel.
  • Audit leave spreadsheets regularly to ensure accuracy, compliance, and proper follow‑through.
  • Manage the LOA inbox, responding to employee questions, requests, and escalations.
  • Track LOA end dates and follow up with employees and managers to confirm return‑to‑work plans.
  • Deliver exceptional customer service through timely responses across phone, email, and mail.
  • Guide employees, managers, and HR partners through LOA processes, policies, and requirements.
  • Collaborate closely with internal teams including HR, workers’ compensation, and corporate counsel.
  • Participate in the interactive process and document reasonable accommodation discussions.
  • Respond to inquiries from state agencies and insurance carriers regarding disability and state leave programs.
  • Stay current on federal and state LOA regulations, ensuring 100% compliance in all applicable jurisdictions.
  • Attend ongoing training and continuing education related to leave management.
