Join our Real Estate and Corporate Team as a Transactional Legal Support Specialist located in our San Diego (Del Mar) office. This role will be based in our San Diego (Del Mar) office, on a primarily in-office basis (3-4 days in office). Regular in-office presence is required for day-to-day operations, as well as for team meetings, training opportunities, and relationship building. This role reports to the Business Director. Position Summary The Legal Support Specialist will play an essential role in supporting attorneys in our transactional practices throughout all phases of real estate and corporate transactions and business matters. This role offers valuable hands-on experience and the opportunity to collaborate closely with attorneys, clients, vendors, and other professionals in a dynamic, team-oriented environment. Candidates should also be flexible to work overtime as needed.

Requirements

  • Skilled in handling administrative tasks such as attorney time entry, travel arrangements and processing invoices and expenses.
  • High attention to detail, outstanding organizational skills and the ability to manage time effectively.
  • Excellent interpersonal and communication skills (oral and written), professional demeanor and presentation.
  • Ability to work independently and as part of a team, demonstrating flexibility and adaptability in high-pressure situations.
  • Recognize confidential, sensitive, and proprietary information and maintain such information as confidential.
  • Position also requires the ability to work under pressure to meet strict deadlines.
  • Bachelor’s Degree or equivalent experience is preferred.
  • Minimum of (5) years of experience supporting attorneys or senior professionals in a law firm or professional services environment.
  • Knowledge of laws, legal codes, court procedures or agency rules of assigned practice group/dept. (ex. State and Federal court filing, including e-filings).
  • Proficiency in Microsoft Office Suite, Adobe Acrobat, and legal document management systems.
  • Exceptional computer skills with the ability to learn new software applications quickly.

Nice To Haves

  • Real Estate transactional experience is a plus.
  • Experience with corporate filing platforms and entity management software (such as CSC, GEMS, hCue) is highly desirable.

Responsibilities

  • Assist in managing and organizing documents related to real estate transactions, including escrow instructions, title and survey reviews, UCC searches, local transfer requirements, and due diligence.
  • Develop and implement procedures to manage large, complex transactions; attend closings, oversee closing rooms, coordinate workflow, and manage execution of closing documents; track, obtain, and organize pre- and post-closing documents to ensure fulfillment of obligations.
  • Prepare and assist with closing checklist, including basic agreements and third-party consents; compile information and draft schedules and exhibits for agreements.
  • Support post-closing activities, such as mailings, closing binders, and transfer agreements.
  • Coordinate the creation, editing, proofreading, and processing of legal documents at the request of assigned attorneys, including correspondence, memoranda, closing documents, transaction timelines, and other practice-specific materials.
  • Submit conflict checks, open new client matters, prepare engagement letters, and review or edit client billing invoices.
  • Arrange domestic and international travel, accommodations, and entertainment for assigned attorneys.
  • Process and reconcile expense reports and vendor invoices accurately and in a timely manner.
  • Collaborate effectively with Administrative Support Coordinators, Paralegals, and other members of the legal support team.
  • Utilize firm resources efficiently to achieve desired outcomes.
  • Provide assistance with overflow work and special projects, as assigned.
