About The Position

The New York Public Library for the Performing Arts (LPA) is seeking a highly organized and proactive Executive Office Page to provide comprehensive administrative support to the Executive Director’s office. This role offers an inside look at the operations of a major cultural institution and is ideal for candidates interested in arts administration, non-profit management, or library leadership. The ED Page will assist with day-to-day office operations, spend management, and high-level project coordination. We are looking for a reliable professional with a self-driven work ethic who can navigate a fast-paced executive environment with diplomacy and attention to detail. The library page position is scheduled for 18 hours per week, including evenings and Saturdays. Schedules are variable based on library needs and may be subject to change. You will have access to the Library Page Fellowship Program as a Library Page. A career growth development program that empowers youth as they shape their careers. The Program provides resources to help develop career readiness skills, explore career goals, and provide on-the-job coaching, training, and mentorship.

Requirements

  • Current enrollment in a degree program at an accredited school
  • Proper employment certificate for minors under 18 as required by NYS law
  • Ability to extrapolate from past examples and reports to complete current tasks.
  • Self-driven work ethic with the ability to independently study and apply knowledge of office procedures.
  • Interest in arts administration and the mission of the Library for the Performing Arts.

Responsibilities

  • Support the Administrative Coordinator with clerical duties, including mail coordination, filing, scanning, and inter-departmental deliveries
  • Utilize Workday (spend management system) to place requisitions for office supplies and program expenses, and assist with the submission of receipts and expense reports
  • Maintain and update internal databases and contact lists to ensure accurate record-keeping
  • Review promotional materials and external documents for accuracy; serve as a primary point of contact for in-person inquiries and incoming calls when the administrative coordinator is not available
  • Prepare materials for executive meetings
  • Help establish and maintain filing and storage systems
  • Proven ability to manage multiple tasks simultaneously in a fast-paced environment with strong attention to detail.
  • Basic proficiency in Microsoft Office Suite, Google Workspace, and the ability to learn new systems like Workday.
  • Superb interpersonal skills when engaging with diverse patronage and staff
  • Demonstrated reliability, poise, and the ability to handle sensitive information with discretion.
  • Strong critical thinking skills and the ability to work effectively as part of a collaborative team.
