We are seeking a detail-oriented and organized Licensing Coordinator / Reservation Coordinator to support our National Accounts team and licensing operations. Requirements

  • 2+ years of administrative, licensing, compliance, or operations support experience required
  • Strong organizational and time management skills
  • Excellent written and verbal communication
  • Proficiency in Microsoft Office and booking systems
  • Ability to manage multiple priorities and deadlines
  • Experience with licensing platforms (Certemy preferred)

Nice To Haves

  • Previous administrative, travel coordination, or licensing experience preferred

Responsibilities

  • Manage and process license applications, renewals, and compliance documentation
  • Handle all license renewals and maintain accurate tracking systems
  • Maintain organized and up-to-date compliance records
  • Ensure regulatory compliance with local, state, and federal agencies
  • Research licensing requirements for new states, municipalities, and jurisdictions
  • Coordinate with operations teams to ensure proper licensing prior to project mobilization
  • Communicate with regulatory agencies and internal departments
  • Track deadlines and ensure timely submissions
  • Assist with audits and reporting requirements
  • Maintain digital and physical licensing files for internal and external review
  • Support insurance certificate tracking and related compliance documentation
  • Utilize licensing management platforms (Certemy experience preferred)
  • Provide regular status reports to leadership regarding license expirations and compliance
  • Book and manage travel arrangements for the Mechanical team, including:
  • Hotel accommodations
  • Air travel
  • Rental cars
  • Airbnb reservations
  • Assist with travel coordination for COO, including itinerary management and related logistics
  • Ensure all travel arrangements are accurate, cost-effective, and aligned with company policies
