Our current hybrid approach requires staff to work onsite a minimum of two days each week, every Tuesday and Wednesday, Hybrid staff are also welcome to come in additional days each week or may be asked to come in on other days by their manager. DEPARTMENT OVERVIEW GBH Strategy and Business Development works to explain the evolving media landscape, as well as internal and external issues we face, to the GBH community (leadership, staff, Board), so we can collaboratively develop solutions to create a thriving and more sustainable future for GBH. The Division includes teams from a diverse cross-section of GBH, e.g., Research, Digital Content, Accessible Media, and Commercial Licensing. The Licensing Assistant and Project Manager will provide administrative support to media executives, manage licensing activities for GBH Enterprises, and support special projects for the Board, other departments and key stakeholders. GBH Enterprises manages GBH’s business activities for the rights GBH retains, including the licensing of GBH’s trademarks and intellectual property for series-branded merchandise, tie-in books, and commercial television and film projects to increase revenue as well as audience engagement and brand awareness. JOB OVERVIEW Under the supervision and direction of the VP, Strategy and Business Development, the Licensing & Project Operations Specialist will perform diverse strategic administrative functions requiring initiative and sound decision-making with the goal of achieving clear communication, efficient office operations, and effective assistance. S/he will support GBH’s merchandising and licensing business by managing a database of licensees, communicating clearly with those licensees and our third-party agents, securing approvals from internal brand stakeholders and administrative departments, and helping as needed with the launch of new business initiatives and special projects. S/he will also project management for special projects across GBH, including but not limited to Board presentations, grant proposals, internal workshops, and external events. GBH is seeking a highly detail oriented, experienced and talented administrative professional who thrives as a self-starter and problem solver. This challenging and fast paced position will require regular contact with GBH staff, Board members, Boston business leaders and key representatives of our public media communities (PBS, CPB, NPR, etc.). Trustworthiness, discretion, poise, confidentiality, flexibility and a solutions-based approach to addressing problems are required. They must be an excellent communicator (written and verbal), have superior interpersonal skills, expert computer skills and use sound independent judgment to keep projects on track. They must be able to work independently and proactively on multiple, concurrent deadlines with limited direction and execute assignments with a sense of urgency. The ideal candidate must be able to interact diplomatically with a wide range of people in a collaborative fashion, exude grace under pressure and professionally represent the GBH Executives and our organization.

Requirements

  • Bachelor’s degree or equivalent work experience required
  • 3-5 years’ work experience required as a C-level executive assistant or comparable equivalent
  • A minimum of one years’ experience with media and entertainment brands and/or consumer product licensing
  • A minimum of one years’ experience as a project manager

Nice To Haves

  • Familiarity with and comfortable using project management databases
  • Design/photo editing skills (Canva, Photoshop, Illustrator) a plus

Responsibilities

  • Administrative work Heavy calendar management and some travel booking.
  • Compile information from a wide range of sources to create reports, correspondence, presentations, etc.
  • Ensure prompt and orderly processing of documents, correspondence, internal reports, and other transactions according to standard and approved procedures.
  • Serve as operational liaison with GBH’s Executive Leadership Team, department heads, and staff; with leaders and other contacts at other public media organizations; with members of our Boards of Trustees and Overseers; and with the general public.
  • On occasion, provide on-site support for large group meetings and events (some of which may be in the evenings).
  • licensing coordination and project management Project manager for special projects for various departments and constituencies, including but not limited to board presentations, grant proposals, internal workshops, and external events
  • Collect and distribute assets to licensees, tracking licensee contract deliverables, and coordinating the product approval process with various internal stakeholders to ensure brand compliance
  • Regularly update various licensee trackers, licensee prospect lists, IP catalogs, and department database
  • Prepare and update brand/pitch decks, one-sheets, power point presentations, and other collateral as needed
  • Other tasks including, but not limited to, research, taking/distributing meeting notes, collecting/filing paperwork, data entry
