About The Position

The Loan Administration Manager ensures the accuracy, efficiency, and regulatory compliance of the Bank’s loan operations, loan administration, and loan review functions. This role safeguards the Bank’s credit quality, strengthens operational controls, supports lenders with timely and accurate documentation, and leads staff in delivering exceptional service to internal and external customers. Through strong oversight, policy adherence, and proactive risk identification, the Loan Administration Manager protects the Bank’s interests and contributes directly to portfolio quality, operational excellence, and customer satisfaction. The Loan Administration Manager oversees all aspects of loan administration, loan operations, and loan review. This position manages staff responsible for loan documentation, booking, servicing, and portfolio review. The role ensures compliance with regulatory requirements and the Bank’s Loan Policy, maintains efficient workflows, and supports lending personnel with accurate, timely information. The Manager develops and maintains departmental procedures, monitors staffing needs, and ensures strong internal controls across all loan-related functions.

Requirements

  • Bachelor’s degree in business administration, Finance, Accounting, or related field; OR high school diploma with a minimum of five (5) years of progressive experience in banking, to include a minimum of three (3) years in loan administration or loan operations.
  • Demonstrated supervisory experience.
  • Strong knowledge of loan documentation, loan operations, and regulatory requirements.
  • Excellent communication skills and proficiency with PC and banking systems.
  • Strong understanding of loan operations, loan documentation, and loan review processes.
  • Knowledge of banking regulations, internal controls, and loan policy requirements.
  • Ability to lead, train, and develop staff.
  • Strong analytical, organizational, and problem-solving skills.
  • Ability to communicate effectively with staff, management, and external parties.
  • High attention to detail and commitment to accuracy and compliance.
  • Ability to manage multiple priorities in a fast-paced environment.

Responsibilities

  • Manage the daily operations of the loan administration and loan operations departments.
  • Oversee loan documentation, booking, servicing, collateral management, and file maintenance.
  • Ensure accuracy, efficiency, and compliance in all loan operations processes.
  • Maintain strong internal controls and ensure adherence to the Bank’s Loan Policy.
  • Develop and maintain standardized workflows and procedures to support timely loan processing.
  • Monitor staffing levels and ensure adequate coverage to meet lending and customer demands.
  • Direct the loan review function in accordance with regulatory guidelines.
  • Identify emerging risks, trends, and potential problem credits.
  • Ensure timely completion of loan reviews, credit file audits, and risk rating validations.
  • Oversee the quality and completeness of credit files and documentation.
  • Assist in developing, updating, and implementing loan policies and procedures.
  • Maintain procedure manuals for all positions within the loan administration department.
  • Ensure compliance with federal and state regulations and internal controls.
  • Keep abreast of regulatory changes and ensure staff are informed and trained.
  • Supervise, train, and develop departmental staff to ensure competence and motivation.
  • Conduct annual performance evaluations and maintain employee records.
  • Communicate departmental goals, changes, and expectations clearly and effectively.
  • Encourage upward communication and foster a collaborative environment.
  • Recommend improvements to systems, processes, and staffing.
  • Support the Bank’s goals and objectives through effective departmental leadership.
  • Participate in community affairs to enhance the Bank’s visibility and business opportunities.
  • Perform additional duties as assigned.
