About The Position

The Loan Servicing Imaging and File Clerk Specialist performs and maintains the filing and imaging of loan documents for the Loan Operations department, including overseeing the file check-in and check-out process. This position is responsible for imaging credit documentation in an accurate and timely manner.

Requirements

  • High school or GED, plus specialized schooling and/or on the job education in a specific skill area; e.g. data processing, clerical/administrative, equipment operation, etc., plus 19 to 23 months related experience and/or training, and 7 to 11 months related management experience, or equivalent combination of education and experience.
  • Ability to read a limited number of words and recognize similarities and differences between words and between series of numbers; ability to write and speak simple sentences as a means for basic communication.
  • Ability to read and understand documents such as policy manuals, safety rules, operating and maintenance instructions, and procedure manuals; ability to write routine reports and correspondence.
  • ability to effectively communicate information and respond to questions in person-to-person and small group situations with customers, clients, general public and other employees of the organization.
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
  • Ability to apply concepts such as fractions, ratios, and proportions to practical situations.
  • Ability to utilize common sense understanding in order to carry out written, oral or diagrammed instructions.
  • Ability to deal with problems involving several known variables in situations of a routine nature.
  • Intermediate: Alphanumeric Data Entry
  • Basic: 10-Key, Accounting, Spreadsheet, Word Processing/Typing
  • Nineteen (19) months of related experience and/or training
  • Seven (7) months of related management and/or supervisory experience
  • Must have strong organization and attention to detail skills
  • Must maintain a broad knowledge of various loan document types

Responsibilities

  • Remains knowledgeable about a broad variety of loan document types.
  • Organizes and maintains a filing system for loan documents.
  • Images initial loan/credit documentation and/or trailing documents in the banks imaging system ensuring documents are properly indexed for ease of retrieval by end user.
  • Performs due diligence on imaged documents to ensure documents are correctly completed.
  • Reviews and ensures tasks required for the Imaging Team are complete.
  • Responds to phone and email requests and inquiries related to the Imaging Team promptly and professionally.
  • Reviews loan files from acquired banks to ensure accuracy with imaged documents.
  • Retrieves and delivers loan files at payoff and/or when requested.
  • Oversees the check-in and check-out process for loan document files.
  • Verifies paid-off loan documents are imaged and processed from the physical loan file based on the banks document retention policy/process.
  • The ability to work in a constant state of alertness and in a safe manner.
  • Completes required BSA/AML training and other compliance training, as assigned.
  • Perform any other related duties as required or assigned.
