About The Position

Description The Certified-Registered Medical Assistant (MA) provides professional care through the application of clinical skills and processes to assigned patients. This role will also assist patients, clinic staff or other clinical staff to schedule, pre-register register for all services at Adena Health System. This position may be responsible to enter diagnosis, tests and check orders for completeness and medical necessity. This individual provides direct care and works collaboratively with other members of the care team to achieve optimal patient care. This incumbent has access to confidential patient information, provides direct patient care, and if functioning clinically will do so under the direct supervision of the nurse practitioner and/or physician. The MA/PAR use established interviewing techniques to gather information in person, by accessing hospital or clinic EMR or by phone. Information gathered includes demographic information, insurance, financial, ensuring correct precertification/authorization and other information from patients or their representatives required for billing and collecting patient accounts. This position uses various electronic tools to ensure the patient's insurance coverage is active. This position will be required to run an estimate on each patient at each visit or over the phone when pre-registering. Required signatures and documents are obtained by this position at the time of registration and scanned into document imaging. This position may interact with clinicians in the ER and both outpatient and clinic settings to ensure patient care is delivered in a timely manner. The Patient Access Representative on occasion may be required to answer all incoming calls and transfer as appropriate if needed. Must successfully maintain competency level of PAR II role. Under the direct supervision of the licensed independent practitioner and/or physician, the medical assistant/Patient Access Representative performing phlebotomy tasks assumes the responsibility for performing venipuncture and related procedures under the philosophy, policies, and procedures established by the hospital and department. This position does not have access to funds. This incumbent also reports to the School-Based Health program manager or designee. The Medical Assistant/Patient Access Representative must be self-driven and able to multi-task and prioritize their work. They must have strong communication skills and be able to deal effectively with others with a strong emphasis on customer service. This position is team oriented and contributes to achieving department goals.

Requirements

  • Required Educational Degree: Successful completion of a Medical Assistant Program/ Associates Degree or Licensed Practical Nursing Degree/ Certification.
  • Major/Area of Concentration: Medical Assisting
  • Registered through American Allied Health (AAH), American Medical Technologists (AMT), or Certified through American Association of Medical Assistants (AAMA).
  • BLS- (Basic Life Support).
  • Valid Ohio State Driving License.
  • Successful completion of Adena skills assessment and written test annually.
  • Required Experience: Experience in medical office or similar capacity.

Responsibilities

  • Focus on the patient at each interaction, prioritizing tasks with emphasis on patient needs and processing patients using critical thinking skills.
  • Provide excellent customer service to all patients through a positive, empathetic, and professional attitude
  • Communicate with patients, family, caregivers and providers in an effective and appropriate manner using written, verbal and electronic methods
  • Drive mobile vehicle to and from service locations.
  • Set up unit at the location, secure power and WiFi, and monitor vehicle temperatures for optimal operations.
  • Handle any immunization and prescription order pick-ups from designated pick-up location at Adena Regional Medical Center (ARMC).
  • Daily monitoring and pre-trip maintenance checks of the SBH Mobile Unit vehicle to include troubleshooting maintenance issues and ensuring vehicle is always adequately fueled and stocked.
  • Monitor par levels, orders on-board supplies and assists with interior cleaning and stocking.
  • Secure and close up SBH Mobile Unit vehicle at designated site at ARMC at the end of each day.
  • Facilitate preventative maintenance activities for SBH Mobile Unit vehicle.
  • Return any immunization and prescription stock back to designated area and turn in any lab draws to lab department for testing.
  • Protects the confidentiality of all patients, events, and medical records and responds to requests for medical information adhering to Adena policies and regulatory guidelines.
  • Accurately records patient information in medical record.
  • Completes referral arrangements and pre-approvals as required to assure continuity of care and payment for services rendered according to established protocols.
  • Maintains equipment and supplies in area of responsibility including exam rooms, stock room, and medical inventory for efficiency and ease of care delivery, following established protocol.
  • Follows established telephone protocols to respond to incoming telephone calls involving triage to provide approved information.
  • Obtain accurate and complete demographic and financial information from patients or their representatives through established screening techniques with minimal error or duplication.
  • Electronically verify patients' insurance coverage, provide financial estimate and/or financial assistance information.
  • Comprehensive understanding of insurance plan benefits and payer guidelines
  • Collect copays and payments according to policy.
  • Balance drawer daily.
  • Follow department/clinic cash handling policy.
  • Comprehensive understanding of insurance plan benefits and payer guidelines
  • Present, explain, and obtain appropriate signatures for legal and compliance related documents.
  • Scan necessary documents into electronic health record.
  • Assist with patient scheduling and provide patient with instruction/preparation of visit
  • Coordinating and providing patient support services through all other duties assigned
  • Handles office clerical functions, request for information, phone calls and faxes.
  • Attends department meetings and in-services as requested.
  • Assists in quality improvement activities as needed.
  • Maintains individual record of competency assessment, certificates of training, responsible for timely updates to departmental training record. Maintains current knowledge and documentation of hospital and department policies.
  • Utilizes resources to allow the department to function in a fiscally responsible manner.
  • Stocks and maintains supplies; insure cleanliness of work areas.
  • Prioritizes work to perform in an efficient and logical manner in order to avoid overtime to complete required tasks.
  • Communicates laboratory information effectively to all department contacts, internally as well as externally.
  • Follows/enforces all department specific policies and procedures.
  • Other duties as assigned.
  • Assists the physician in the care and treatment of the patient including, but not limited to obtaining history, vital signs, and reason for patient visit; preparing the patient for examination; assisting with procedures and administering injections; processing and documenting lab tests ordered by the physician; and notifying patient of pertinent clinical information at the direction of the physician.
  • Collects patient specimens, on patients of all age groups, for the following specimen types: arterial, venous, capillary, saliva, throat, nasopharyngeal, and other microbiology specimens.
  • Responsible for providing patient instructions for the proper collection of urine, urine drug testing, sputum, semen, stool and glucose tolerance specimens.
  • Evaluates all specimens for adequate test request, scheduling, labeling, test requirements, and special instructions.
  • Required to complete urine drug screen collector training program and breath alcohol testing technician training, both provided on-site. Properly completes all required documentation for both procedures.
  • Collects specimens external to the hospital as necessary.
  • Remains proficient and knowledgeable to current phlebotomy practices.
  • Responsible for maintaining laboratory compliance through daily duties and actions.
  • Correctly identifies all patients following established laboratory policy and procedures prior to collecting specimens.
  • Labels all specimens and maintains specimen identity following established laboratory policy and procedures.
  • Deliver, receive or send specimens for processing either internally or to external reference laboratory. Accurate distribution of laboratory reports and supplies.
  • Collects patient information necessary to process orders, to provide for accurate result reporting and correct patient billing
  • Correctly processes patient/physician orders for Laboratory/Diagnostic Services. Inputs all pertinent information into laboratory information system (LIS) i.e. ordering physician, “copy to” physician, result routing instructions, etc.
  • Properly screens Medicare patient orders for medical necessity and issues advanced beneficiary notices (ABN) when required. Informs physician and/or physician office staff of medical necessity issues as outlined in department policy and procedures.
  • Properly documents, per department policy, additional information on orders as required for medical necessity information.
  • Maintains expertise in using LIS as well as manual back-up/downtime procedures.
