About The Position

The Maintenance Inventory Parts Clerk supports the Maintenance Department within a food processing facility by managing, organizing, and controlling spare parts, maintenance supplies, and equipment components critical to production uptime. This role works closely with maintenance technicians and reliability teams to ensure parts availability for preventive maintenance, corrective repairs, and emergency breakdowns. The position plays a key role in equipment reliability, inventory accuracy, and compliance with food safety and GMP standards. The ideal candidate is mechanically inclined, detail-oriented, and experienced in maintenance inventory within a regulated manufacturing environment.

Requirements

  • Working knowledge of OEM parts manuals, technical drawings, and equipment blueprints.
  • High school diploma or equivalent required; technical training in maintenance, industrial technology, or inventory management preferred.
  • Minimum 2 years of experience in maintenance inventory, parts room operations, or industrial maintenance support.
  • Experience working within food processing or other regulated manufacturing environments.
  • Proficiency with CMMS systems such as Fiix, eMaint, SAP, or similar platforms.
  • Strong understanding of industrial mechanical and electrical components (motors, drives, bearings, pneumatics, sensors, etc.).
  • Strong computer literacy, including Microsoft Office and inventory management software.
  • Ability to lift 25–50 lbs and work safely in warehouse, production, and maintenance environments.
  • Strong attention to detail with proven ability to maintain accurate inventory records.
  • Effective communication and teamwork skills to collaborate with maintenance, production, quality, and purchasing departments.

Responsibilities

  • Establish and maintain accurate reorder points, min/max levels, and safety stock for all critical spare parts.
  • Classify and manage spare parts by criticality (A/B/C) based on equipment risk and production impact.
  • Perform routine cycle counts, audits, and inventory reconciliations to ensure system accuracy.
  • Monitor and maintain stock of essential mechanical, electrical, and safety components (bearings, motors, sensors, belts, PPE, etc.).
  • Identify obsolete, slow‑moving, or high-risk critical parts and recommend inventory optimization strategies.
  • Issue parts against work orders and accurately record all usage within the CMMS.
  • Stage parts kits for PMs, planned shutdowns, and capital projects to support maintenance scheduling.
  • Create and update part numbers in the CMMS, ensuring accurate equipment‑to‑part cross‑referencing.
  • Receive, inspect, and verify incoming parts against purchase orders and technical specifications.
  • Coordinate with vendors on pricing, lead times, returns, warranties, and urgent part requests.
  • Maintain compliance with food safety, GMP, chemical handling, and proper storage standards.
  • Keep the parts room clean, organized, and audit‑ready while ensuring all documentation is accurate and up to date.
