This role supports the effective operation of campus facilities by planning, scheduling, and coordinating preventive, predictive, and corrective maintenance activities. This role ensures maintenance work is executed efficiently and in alignment with university standards by organizing labor, materials, documentation, and vendor resources. Working under general supervision, the position plays a key role in keeping campus buildings and systems in optimal operating condition Classification Title: Maintenance Planner I

Requirements

  • Completion of an approved apprenticeship program in a recognized trade and 2 years of relevant experience, or a high school diploma and 2 years or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).
  • Position requires a valid Class E driver’s license.
  • Applicant must be authorized to work for any U.S. employer, as sponsorship is not available for this position now or in the future.

Nice To Haves

  • Experience in maintenance planning, scheduling, or coordination within facilities, commercial buildings, or similar environments.
  • Working knowledge of building systems (HVAC, electrical, plumbing, carpentry, etc.) to support accurate planning and prioritization.
  • Proficiency with IWMS/CMMS platforms for managing work orders, documenting repairs, tracking costs, and maintaining detailed maintenance records.
  • Strong organizational and analytical skills, including the ability to prioritize work backlogs, forecast schedules, and coordinate multi‑trade work activities.
  • Experience coordinating vendor or contractor work, ensuring compliance with standards, procurement guidelines, and contract expectations.
  • Effective communication and collaboration abilities for working with supervisors, trades staff, inspectors, vendors, and campus stakeholders.
  • Familiarity with safety, compliance, and preventive maintenance practices, including documentation of inspection and permit requirements.
  • Experience supporting budgeting processes, including identifying capital needs and monitoring expenditures.

Responsibilities

  • Coordinate and schedule preventive, predictive, and corrective maintenance activities to ensure campus buildings and systems operate efficiently (HVAC, electrical, plumbing, carpentry, masonry, life safety systems, and more).
  • Improve workforce productivity by organizing labor resources, materials, parts, tools, equipment, and work‑area access needed for successful work execution.
  • Ensure all work follows university standards and comply with established processes and regulations.
  • Maintain accurate and detailed records in the Integrated Work Management System (IWMS), including work status, costs, repair details, specifications, manuals, drawings, safety plans, and inspection requirements.
  • Build and manage short‑ and long‑term work schedules (including two‑week look-ahead schedules) by prioritizing backlog, forecasting availability, and coordinating with shop/zone supervisors, vendors, inspectors, and internal stakeholders.
  • Plan, coordinate, and direct vendor‑performed repairs and restoration work while ensuring contract compliance, adherence to UCF standards, and procurement guidelines.
  • Support day‑to-day operational needs by helping assign/reassign staff, addressing high‑priority work, and assisting with emergency response planning and implementation.
  • Contribute to the annual budgeting process by identifying capital improvement needs, major operational items, and monitoring expenditures.
