About The Position

The Management Executive will be responsible for the daily management of the property and help oversee all aspects of building management. The individual is responsible for maintaining communication with the Board of Trustees/Directors and homeowners and works closely with the Assistant Property Manager on all manners of property financials and project management.

Requirements

  • Bachelor’s degree in any business-related field is preferred
  • Minimum of 5 years’ experience in New York City residential condominium and cooperative property management, on-site experience is preferred
  • Knowledge and experience with financial accounting in residential real estate, financial reporting and budgeting
  • Hands-on experience with capital improvement construction projects; ability to plan, organize and coordinate multiple projects, ability to read and understand construction specifications and blueprints
  • Strong verbal and written communications skills
  • Proficient with MS Office Suite programs; specifically, Outlook, Excel, Word

Responsibilities

  • Serve as the primary point of contact for assigned condominium and cooperative Boards.
  • Attend and prepare materials for Board meetings and Annual Meetings.
  • Advise Boards on governance, operational decisions, and long-term planning.
  • Implement Board policies, resolutions, and house rules.
  • Oversee day-to-day operations across a portfolio of residential properties.
  • Supervise on-site staff including superintendents, porters, concierges, and assistant managers.
  • Conduct regular property inspections to ensure building conditions meet company and Board standards.
  • Coordinate maintenance, repairs, and preventative maintenance programs.
  • Manage operating budgets and monitor monthly financial performance.
  • Review financial statements and variance reports with Boards.
  • Approve invoices and manage accounts payable processes.
  • Assist Boards with annual budget preparation and reserve planning.
  • Coordinate building improvement and capital projects including façade work, Local Law compliance, roof replacements, mechanical upgrades, and renovations.
  • Work with architects, engineers, and contractors throughout project lifecycle.
  • Ensure compliance with NYC Local Laws (including Local Law 11/FISP, Local Law 97, etc.).
  • Solicit competitive bids and negotiate service contracts.
  • Manage relationships with vendors including maintenance, security, cleaning, and engineering services.
  • Ensure vendors meet insurance and compliance requirements.
  • Ensure properties comply with all NYC, state, and federal regulations.
  • Oversee building compliance including DOB filings, safety inspections, and local law requirements.
  • Maintain proper insurance coverage and manage claims when necessary.
  • Address resident concerns and maintain strong communication with shareholders and unit owners.
  • Coordinate communications including building notices and policy updates.
  • Ensure a high level of customer service across the portfolio.
