About The Position

The HQ Office Operations Manager manages daily operations and maintenance for our three-building campus, serving more than 2,000 associates. This position ensures the workplace remains safe, productive, and well-maintained; acts as the main contact for any building concerns; coordinates facility services; and works closely with both building owners and external vendors. The role also leads incident response, safety programs, and preparedness initiatives. This role is vital in creating an outstanding workplace that boosts productivity and attracts and retains top associates

Requirements

  • Bachelor’s degree in Facilities Management, Business Administration, Operations, or related field (preferred).
  • 3–5+ years of experience in facilities management, corporate office operations, or property management.
  • 3-5+ year of management experience required.
  • Experience coordinating with building owners, contractors, and vendors.
  • Strong problem-solving and decision-making abilities.
  • Excellent communication and stakeholder management skills.
  • Ability to prioritize and multitask in a fast-paced environment.
  • Knowledge of building systems, safety regulations, and facilities processes.
  • Strong organizational and project management skills.
  • Service-oriented mindset with a focus on creating an exceptional workplace environment.
  • Ability to walk throughout the building and access various areas.
  • May require occasional lifting or moving of office equipment or supplies (up to ~50 lbs).

Responsibilities

  • Oversee all aspects of corporate office building operations, including maintenance, repairs, and safety inspections.
  • Serve as the main liaison between the company and building owners/landlords regarding building issues, tenant requests, and facility updates.
  • Serve as primary point of contact for incident, safety, building operation response, escalating, engaging and communicating as required.
  • Coordinate with contractors, maintenance teams, and service providers to ensure timely and quality work.
  • Monitor building systems/services (HVAC, electrical, security, janitorial, etc.) and escalate issues as needed.
  • Ensure compliance with local and federal safety requirements, including emergency preparedness.
  • Maintain office access hardware, security protocols, and vendor relationships.
  • Serve as the primary point of contact for employees and department leaders regarding office-related questions or concerns.
  • Respond to and resolve workplace requests, maintenance issues, and facility-related escalations.
  • Partner with HR, IT, and department leaders on office moves, onboarding needs, and workspace planning.
  • Develop and manage project plans for facility related initiatives. Ensure coordination and collaboration with stakeholders, business partners, vendors, etc., as well as delivery expected results on time and one budget.
  • Plan, coordinate, and execute workplace/facility components of corporate office events, including town halls, employee engagement activities, and holiday events.
  • Manage logistics for onsite meetings, conferences, and companywide gatherings.
  • Support the delivery of a positive workplace experience, ensuring common areas and meeting spaces are clean, functional, and welcoming.
  • Lead, manage and grow a team of facility professionals in the successful completion of daily responsibilities.
  • Ensure the quality and timely completion of workplace facilities tasks, providing recognition, feedback and coaching as needed.
  • Develop and manage facilities-related budgets, including vendor contracts, supplies, and maintenance costs.
  • Maintain accurate documentation of building maintenance schedules, emergency procedures, and vendor agreements.
  • Implement process improvements to enhance building functionality, operational efficiency, and employee satisfaction.
  • Monitor inventory of office supplies, equipment, and furniture; oversee procurement as needed.
  • Build, operate and maintain annual budget and deferred maintenance plans for HQ
