We are seeking an experienced and dynamic Manager of Front Office Administration to lead and oversee all front-end operations within our busy oncology practice. This role is responsible for managing patient check-in, medical oncology scheduling, medical records, and switchboard functions while ensuring a seamless, compassionate, and efficient patient experience. Supports and adheres to the Oklahoma Cancer Specialists and Research Institute Compliance Program, to include the Code of Ethics and Business Standards. The ideal candidate is a strong, hands-on leader who thrives in a fast-paced healthcare environment, can effectively lead a team of approximately 35 employees, and is committed to operation excellence and patient-centered care.

Requirements

  • High School diploma or equivalent required, associate degree or higher in Healthcare Administration, Business, or related field preferred (or equivalent experience).
  • Minimum of three to five years of leadership experience in a healthcare setting required.
  • Strong knowledge of medical scheduling, patient registration, and medical records processes.
  • Computer skills and knowledge of relevant software (MS Office- Word/Excell) required.
  • Knowledge of clerical administration, principles, and practices of basic office management is highly desired.
  • Must have knowledge of procedures and systems to include filing requirements, record keeping, and financial budget for practice.

Nice To Haves

  • Prior experience in oncology or a high-volume specialty practice strongly preferred.

Responsibilities

  • Provide direct leadership, supervision, and development for front office staff, including patient check-in, scheduling, medical records, and switchboard teams
  • Ensure efficient daily operations across all front office functions with a focus on accuracy, timeliness, and exceptional customer service
  • Monitor patient flow and scheduling processes to optimize access and minimize wait times
  • Establish, implement, and enforce policies and procedures to maintain consistency and compliance
  • Partner with clinical and operational leadership to improve workflows and enhance the patient experience
  • Manage staffing schedules, productivity, and performance evaluations for a team of approximately 35 employees
  • Identify opportunities for process improvement and lead initiatives to increase efficiency and service quality
  • Address and resolve patient concerns and escalations in a professional and timely manner
  • Ensure compliance with HIPAA and all regulatory requirements related to patient information and medical records
  • Support onboarding, training, and ongoing development of front office staff
