About The Position

The Manager of Clinic Support Services is responsible for activities performed by front desk, scheduling staff/switchboard, transcription and, medical records/imaging prior authorization. Requirements

  • Bachelor's Degree (BA) from four-year college or university, or one to two years of related experience and/or training, or equivalent combination of education and experience preferred.
  • Computer skills required: Human Resource Information Systems; Microsoft Office Suite; EPIC Preferred with Cadence Experience.
  • Knowledgeable in requirements of HIPAA, HITECH, Freedom of Information Act, Tort Claims and authority agencies about the release of sensitive and confidential information.
  • Knowledge of and skill in the application of established principles, concepts and techniques of medical records administration to perform recurring medical records administration assignments.
  • Monitor and ensure pertinent patient health data are collected, stored and governed for clinical and administration decision support.
  • 5 to 7 years of supervisory experience in patient registration and insurance verification experience in a health care setting is required.
  • Knowledge of various types of insurance plans and payors required

Responsibilities

  • Provide leadership and direction for Clinic Support Services departments, ensuring alignment with the organization’s vision and values.
  • Maintains positive relationships with all customers, employees, providers, and patients.
  • Establish employee relationships and maintain a high level of visibility and accessibility.
  • Lead change initiatives, supporting the organizational changes for staff and providers and developing strategies for successful implementation.
  • Work in collaboration with the HIPAA Privacy Officer.
  • Responsible for developing, updating, and implementing policies and procedures for the collection, storage, maintenance, retrieval, and disposition of patient health records.
  • Lead initiatives to improve upfront cash collections through efficient collection processes.
  • Utilize data to track performance indicators such as registration accuracy, denial rates and collection rates.
  • Serve as the primary point of contact for clinic support services inquiries for the clinic.
  • Maintain staff schedules to assure adequate staffing within departments.
  • Ensure compliance with all regulatory requirements within the departments.
  • Develop denial metrics for the radiology prior authorization team to ensure the organization is meeting benchmarks.
  • Develop metrics with transcription team to ensure timely completion of transcription, which allows for claims to be dropped timely.
  • Utilize Epic system to review dashboards, reports and work queue monitoring to improve accuracy and overall metrics.
  • Effectively manage and direct all areas to ensure quality, productivity, and excellent customer service.
  • Ensure the accuracy and completeness of daily registrations.
  • Interdepartmental collaboration with all Leadership Team members.
  • Responsible for the education of all staff and must assure all staff is competent.
  • Manages multiple departments/staff and assures all issues are addressed timely.
  • Provides clear communication and expectations for staff.
  • Complete performance evaluations timely based on organizations policy.
  • Completes tasks and assignments in a timely, accurate and efficient manner.
  • Works in department for all roles.
  • Performs other related duties as assigned by leadership.
  • Directly supervises 25 employees within the listed department(s).
  • Carries out manager responsibilities in accordance with the organization's policies and applicable laws.
  • Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
  • Conducts evaluations of departmental activities to ensure current professional standards are met and makes recommendations for change when required.
  • Develop strategic/tactical plans for medical records.
