About The Position

Asian Pacific Fund (APF) is seeking a full-time Manager of Executive Operations that will play a critical role in helping our leadership function at its highest level by providing direct strategic and administrative support to the President & Executive Director. The ideal candidate will be an organized, proactive, detail-oriented person who excels at overseeing logistics and communicating across multiple stakeholders. APF’s mission is to uplift Bay Area Asian Americans, Native Hawaiians, and Pacific Islanders (AANHPIs) by mobilizing resources and amplifying our voices to drive positive change and create an inclusive, thriving society. Founded in 1993, the Asian Pacific Fund (APF) is the only community foundation dedicated to improving the lives of underserved and marginalized Asian Americans, Native Hawaiians, and Pacific Islanders (AANHPIs) in the Bay Area. We do this by: Strengthening our Safety Net: We fund and support an ecosystem of more than 90 Bay Area nonprofits serving AANHPI seniors, youth, and families; 40% of which have budgets of less than $1 million. Mobilizing Philanthropy: We connect philanthropy to AANHPI-serving nonprofits, mobilizing funding, regionally and nationally, to increase our collective impact. Driving Change: We are informed by the voices in our community and lead by speaking out, convening thought leaders, and amplifying solutions that work. Our Affiliate Network: APF has deep roots in the AANHPI community through a vast network of affiliates that operate at multiple levels. The Manager of Executive Operations, who is based in the Bay Area and reports to the President & Executive Director, is responsible for the following:

Requirements

  • Strategic thinking and execution: Sees the big picture while managing the details. Translates organizational priorities into coordinated action. Comfortable holding complexity and working through ambiguity to deliver results.

Nice To Haves

  • 3-5 years of experience doing similar work in project management, strategy, operations, or executive support, ideally in a nonprofit, philanthropic, or mission-driven organization.
  • Exceptional project management skills and demonstrated experience driving complex projects from concept to completion, including building systems, managing stakeholders, and measuring impact.
  • Proficiency in Outlook and project management or task tracking tools (e.g., Asana, Notion, or similar).
  • Outstanding communication, interpersonal skills, and relationship-building skills with an ability to prioritize, negotiate, and work with a variety of internal and external stakeholders and produce compelling written and digital materials, including the ability to draft professional correspondence on behalf of senior leadership with minimal guidance.
  • Deep comfort with ambiguity and change; a track record of staying calm, focused, and solutions-oriented in fast-paced, high-stakes environments.
  • Ability to handle sensitive and confidential information with discretion and sound judgment.
  • A skilled leader who models integrity, accountability, trustworthiness, and empathy with deep self-awareness and emotional intelligence.
  • A multitasker with the ability to wear many hats in a fast-paced environment who is agile, iterative, and flexible.
  • Lived experience with or deep connection to Bay Area AANHPI communities is highly valued; knowledge of the philanthropic and nonprofit landscape in the Bay Area is a strong plus.

Responsibilities

  • Serve as a strategic thought partner to the President & Executive Director, helping to set priorities, track organizational goals, and ensure follow-through across teams.
  • Manage the ED’s time, calendar, and priorities — translating high-level goals into actionable workflows and ensuring the ED is prepared and focused on the highest-impact work. This includes managing travel arrangements and materials preparation for meetings and speaking engagements.
  • Lead cross-functional coordination among APF staff, ensuring clear communication, accountability, and alignment on organizational initiatives and timelines.
  • Prepare and manage materials for board meetings, including agendas, briefing documents, and follow-up action items
  • Drive special projects and strategic initiatives on behalf of the ED, including research, stakeholder engagement, and partnership development.
  • Provide logistical and general staffing support for organizational events including arranging meeting spaces, catering, and AV support as needed.
