About the position

The Marketing Coordinator at Lake Charles Civic Center is responsible for soliciting venue sponsorships, group sales, and special event opportunities. This role involves maintaining a customer and sponsor database and tracking system, as well as creating, executing, and maintaining marketing functions to maximize effectiveness and achieve ticket sales goals. The coordinator will prepare sponsorship and advertisement proposals, conduct cold calls, and follow up on existing clients to identify upselling opportunities. Additionally, the coordinator will handle the fulfillment of sponsorship contracts and ensure all executed copies are properly documented. The position also requires the development of marketing plans that include grassroots initiatives, social media, and eblasts, as well as curating content for a monthly social media calendar.

Responsibilities

  • Solicit venue sponsorships, group sales, and special event opportunities.
  • Create and distribute 'Return on Investment Report' for all venue sponsors.
  • Provide weekly updates to General Manager.
  • Prepare sponsorship and advertisement proposals as needed.
  • Conduct cold calls, receive referrals, and follow up on existing clients.
  • Handle fulfillment of sponsorship contracts.
  • Maintain database and tracking system of current and potential sponsors.
  • Ensure all executed copies of contracts are placed on the shared drive and hard copy retained in master file.
  • Send out all surveys to patrons after all ticketed events.
  • Develop Marketing Plans, including grassroots initiatives, social media, and eblasts.
  • Coordinate confirmed event announcements, presale, and on-sale schedules.
  • Help implement and maintain outreach to major organizations within the community.
  • Curate unique and captivating content for monthly social media calendar.
  • Maintain a professional and courteous attitude in all dealings.

Requirements

  • Ability to work effectively under pressure and produce accurate results in a fast-paced environment.
  • Strong organizational and prioritization skills to meet deadlines.
  • Flexibility to adjust to situations as they occur.
  • Effective oral and written communication skills.
  • Proficiency in standard office equipment and personal computers using MS Windows, MS Excel, MS Outlook, MS Word, MS PowerPoint.
  • Proficiency in graphic design software such as Adobe Creative Suite (Photoshop, Illustrator, InDesign, etc.).
  • Ability to ensure all materials adhere to branding guidelines and are of high quality.
