The Marketing Services Coordinator provides administrative and coordination support across marketing services, including marketing content, systems, and logistics. This role is ideal for someone who is organized, proactive, and personable, and can balance hands-on office logistics and virtual coordination. By keeping content, tools, and processes current and running smoothly, the coordinator helps ensure teams across the business have the resources they need to succeed.

Requirements

  • 2 or more years in an administrative, coordination, or project support role.
  • Strong organizational and time management skills with the ability to manage multiple priorities.
  • Proficient with Microsoft Office and/or Google Workspace; quick to learn new platforms.
  • Strong communication skills with a personable, professional presence.
  • Comfortable using or learning AI-assisted tools for content support.
  • Flexible and resourceful; equally comfortable with in-office tasks and remote coordination.
  • Experience with content or sales platforms (Seismic, Highspot) or LMS tools.
  • Experience with HubSpot, website CMS tools, or link management systems.
  • Event coordination or shipping/logistics experience.
  • Exposure to marketing or sales teams in a corporate environment.

Responsibilities

  • Coordinate meetings across audiences (company-wide, marketing, partner, or business unit). Manage meeting logistics, prepare agendas, and confidently open or kick off sessions when needed.
  • Partner with MarTech to administer Seismic (our marketing content repository) and keep content libraries organized and accessible.
  • Maintain and update marketing content inventories across systems: Seismic: ensure assets are current and linked correctly. Website (via HubSpot): upload new assets, update existing content, and keep resource lists accurate. Link management: monitor and maintain active links across platforms.
  • Support “just-in-time” content creation using AI-assisted tools (e.g., Google NotebookLM) in collaboration with Marketing and GTM teams.
  • Assist in uploading and maintaining marketing-led training modules in the LMS.
  • Manage the marketing closet at Jacksonville headquarters: keep inventory current, organized, and ready for use. Coordinate shipping of event and campaign materials from headquarters.
  • Handle light office logistics (copies, labels, print runs, and similar needs).
  • Provide reliable hands-on support for events, campaigns, and marketing projects.
