Requirements

  • 2+ years of experience coordinating events or trade shows (marketing events, conferences, field events, or similar).
  • Highly organized and detail-oriented, with a proven ability to manage multiple deadlines at once.
  • Comfortable owning logistics end-to-end and communicating clearly with internal teams and external vendors.
  • Calm under pressure and good at solving problems without drama.
  • Strong documentation habits (checklists, timelines, instructions, and follow-ups).
  • Comfortable with common work tools (spreadsheets, project management tools).

Nice To Haves

  • Experience working with CRM lead capture and follow-up workflows (HubSpot, Salesforce, etc.).
  • Familiarity with exhibitor portals, show service kits, and coordinating with general contractors.
  • Experience managing event inventory across multiple shows.

Responsibilities

  • Own the event logistics for ~20 trade shows per year, from “we’re going” to “everything is home and accounted for.”
  • Build and maintain event timelines, checklists, and project plans (registration deadlines, shipping dates, asset creation, and travel needs).
  • Coordinate booth planning and execution: booth layouts, graphics, signage, furniture rentals, power/internet orders, exhibitor portals, and show service forms.
  • Manage event shipping and inventory: packing lists, shipments to/from advance warehouse and show site, tracking, on-site deliveries, and return logistics.
  • Keep our booth supplies organized and ready: swag, literature, giveaways, hardware, cables, tools, and “just in case” items.
  • Partner with Marketing and Sales to ensure each show has the right messaging, collateral, demo setup, and lead capture plan. This also includes leading team pre-show briefings.
  • Support travel planning logistics for attendees (as needed): hotel blocks, staff schedules, shipping timing relative to travel, and on-site readiness.
  • Help manage event budgets and invoices: gather quotes, track costs, confirm POs/approvals, and reconcile post-show.
  • Ensure leads and notes are captured and routed correctly, and support post-show wrap-up: inventory reset, shipment closeout, and a simple event recap.
